Job Description
Your New Chapter At VetPartners, we pride ourselves on delivering shared services support that drives success for our veterinary clinics. This role features a hybrid work arrangement, with four days in the office to promote collaboration, build strong connections, and enhance team engagement. We are seeking a detail-oriented and proactive Facilities Coordinator to support the day-to-day management of maintenance requests across our sites. In this role, you'll be responsible for triaging incoming maintenance tickets, coordinating with internal teams and external contractors, and ensuring all work is completed efficiently and to a high standard. You'll also manage outstanding maintenance issues, obtain quotes for potential capital works, and monitor progress against budget considerations. This position plays a vital role in maintaining a safe, functional, and well-presented environment for our staff and clients. It's ideal for someone who thrives in a fast-paced setting, is highly organised, and enjoys problem-solving. Key Responsibilities
- Triaging maintenance requests: Review, prioritise, and allocate incoming maintenance tickets via our internal system.
- Contractor liaison: Coordinate with established contractors or source new providers as needed to address maintenance tasks.
- Progress monitoring: Track the status of work orders to ensure timely completion and quality of service.
- Request management: Oversee outstanding maintenance tasks, obtain quotes, and present recommendations for capital expenditure (CAPEX) consideration.
- Budget alignment: Ensure all quotes and maintenance plans align with allocated budgets and escalate where necessary.
- Previous experience in a facilities, property, or operations coordination role.
- Strong organisational and communication skills.
- Ability to work with multiple stakeholders and vendors.
- Confidence in problem-solving and decision-making.
- A proactive mindset with high attention to detail.
- Familiarity with maintenance tracking systems and basic budgeting principles.
