Auto Apply terms

Last updated: 14 September 2026. Autopilot terms (sections 3.8 to 3.12) added 28 September 2026.

1. About these terms

1.1 These terms cover the free and paid Auto Apply features of Haystack, including matching, application preparation, submission and the application inbox. They supplement our Terms & Conditions and Privacy Policy. These terms take priority for Auto Apply if there is a conflict, subject always to your mandatory legal rights.

1.2 Auto Apply is provided by Haystack App Limited, registered in England and Wales under company number 12150812, registered office 11 Lansdowne Terrace, Newcastle upon Tyne, England, NE3 1HN. You can reach us at hello@haystackapp.io.

1.3 You agree to these terms when you accept them during setup or purchase. You must be at least 18 and use the service for your own genuine job search. A free application does not itself create a paid subscription.

2. What Auto Apply does

2.1 Auto Apply uses your CV or resume, profile and preferences to suggest roles and prepare application materials. When you select a job and instruct us to apply, we attempt to complete and submit that application. Some applications require you to provide information, verify your identity or complete a step yourself. Suggested matches are recommendations, not confirmation that you meet every requirement.

2.2 Haystack provides software to support your own job search. We do not act for the employer, employ you, make hiring decisions or have authority to offer or accept employment for you. Employers are responsible for their vacancies and recruitment decisions.

2.3 We do not guarantee a particular number or continuous supply of suitable matches, successful submissions, responses, interviews or job offers. An application may be delayed, rejected or blocked, or a vacancy may close before submission. We will use reasonable care and skill in providing the service.

3. Your information and your authority

3.1 You must provide accurate, current information that you have permission to use, and keep your CV or resume, contact details, eligibility and preferences up to date. Do not include confidential information belonging to a current or former employer or unnecessary personal information about other people.

3.2 Clicking Apply, or another clearly labelled control authorising a specific application, instructs us to prepare and submit it in your name without a further submission confirmation. This includes an entry-job application you authorise during onboarding. It does not authorise us to choose and apply to unrelated jobs, unless you turn on Autopilot (sections 3.8 to 3.12).

3.3 We may draft ordinary answers and adapt your application materials using the information you supply. We may ask for a missing fact or leave an application for you to finish where the information or authority available is insufficient. You do not authorise us to invent qualifications, employment history, work rights or other material personal facts.

3.4 Review your saved information before applying and check the application records and inbox afterwards. Tell us promptly if something is wrong. You are responsible for information and instructions you provide; this does not remove our responsibility for failures to exercise reasonable care and skill.

3.5 Use Auto Apply only for genuine applications for yourself. Do not impersonate someone else, misrepresent your eligibility or experience, submit unlawful content, or misuse the service for spam, harassment or repeated duplicate applications.

Application permissions

3.6 For a job you authorise, we may upload your application materials, create or access an application account where permitted, receive application-related messages, and complete necessary email verification steps. We may accept acknowledgements of an employer's privacy notice and permissions limited to processing that application. We do not accept optional marketing, talent-pool or future-job contact permissions on your behalf. Where a form combines wider permissions with required processing and these cannot be separated, you may need to complete that step yourself.

3.7 This authority does not permit us to accept a job offer, employment contract, payment obligation, credit or background-check authorisation, or a declaration legally requiring your personal signature or separate consent. You remain responsible for attending interviews and meeting employer deadlines. You can ask us to stop an application that has not yet been sent; a step already in progress may complete before the request takes effect.

Autopilot (optional)

3.8 Autopilot is off unless you turn it on. When you turn it on and agree to these Autopilot terms, you authorise Haystack's AI agent to choose jobs from your matches and apply to them in your name, up to the number a day you set (between one and five), without asking you before each application. Sections 3.3 to 3.7 apply to every Autopilot application as if you had clicked Apply.

3.9 Autopilot only chooses roles we rate as a strong match or better, on job sites where our agent completes the application itself, and no more than one role per employer in each batch. It skips an employer you have applied to in the previous seven days and any role you have already applied to or removed.

3.10 Each day's jobs are shown in the app before they are sent. Removing a job there stops Autopilot applying to it. Autopilot sends the CV or resume saved in your profile; it does not tailor it for each role.

3.11 Autopilot applications count towards your plan's application allowance. Autopilot pauses when your allowance or your paid access ends.

3.12 You can turn Autopilot off at any time in the app. Applications already sent, or in progress when you turn it off, may still complete. If we change these Autopilot terms, Autopilot stops until you agree to the new version.

4. Plans, prices and payment

4.1 Paid plans are subscriptions. The checkout shows the price, currency, taxes where applicable, billing interval, included features and any usage allowance before you pay. Amounts displayed as a weekly or monthly equivalent (for example a monthly plan quoted per week) do not change the total amount or billing interval stated at checkout.

4.2 Current paid subscriptions may be billed weekly, monthly or every three months, as selected at checkout. Unless cancelled, they renew at that interval for the disclosed charge, subject to section 4.5 and applicable law. Existing subscriptions keep their agreed plan conditions unless changed with the required notice and consent.

4.3 You authorise the recurring payments clearly disclosed and accepted at checkout through our payment service provider. A free account or application does not authorise a charge. A promotion converts to a recurring charge only where this was disclosed and you agreed to it.

4.4 Where a plan includes unlimited applications, this means there is no fixed numerical application allowance. It does not guarantee immediate processing, unlimited simultaneous applications, a particular result or a supply of suitable jobs. Fair-use and service-protection measures in section 8 still apply. Any allowance on a legacy or promotional plan follows the measurement period disclosed for that plan; billing and usage periods need not be the same.

4.5 We may change future subscription prices for reasons such as changes to our costs, taxes or the service. We will give at least 30 days' notice before a price increase affects you, explain when it applies and how to cancel, and obtain consent where required. An increase will not alter a period already paid for.

5. Launch offers and promotions

5.1 Offers and free applications are subject to the eligibility, duration and renewal conditions shown before you accept. Unless the offer says otherwise, it is limited to one use per person and cannot be combined with another offer. We may withhold an offer obtained through duplicate accounts or misuse. This does not affect an offer already validly accepted or your statutory rights.

6. Starting straight away and your right to cancel

6.1 If you are a consumer in the UK or European Economic Area, you normally have 14 days after entering a distance service contract to withdraw without giving a reason. Any longer or additional rights required by the law where you live also apply. These rights are separate from cancelling a future renewal.

6.2 Where you expressly request that a paid service starts during a statutory withdrawal period, we may begin providing it. Simply accepting these terms does not replace any separate express request or acknowledgement required by law. Sending the first application does not by itself end your withdrawal right for an ongoing subscription.

6.3 If you withdraw in time, we will refund amounts due within 14 days of receiving your notice, using the original payment method unless agreed otherwise, without a refund fee. We may deduct only a lawful, proportionate amount for service actually provided before withdrawal where you expressly requested an early start and received the required information. If we have not submitted an application, we will refund the full payment. Statutory remedies for a defective service remain available.

6.4 To withdraw, email hello@haystackapp.io or write to our registered address in section 1.2 with a clear statement and enough information to identify your subscription. You may also use the cancellation facility in Billing. You do not have to use specific wording. An optional notice is: “I hereby withdraw from my Auto Apply subscription entered into on [date]. Account email: [email]. Name: [name]. Address: [address]. Date: [date].” Include a signature only if you send a paper notice.

7. Cancelling and renewals

7.1 You can cancel renewal through Billing using Manage subscription, or contact hello@haystackapp.io if you need help. Cancellation stops future renewals and normally leaves access until the end of the paid period. Any right to withdraw, end the contract immediately or obtain a refund under applicable law is unaffected.

7.2 Outside statutory withdrawal and other legal refund rights, cancelling renewal does not normally result in a refund for the unused part of a paid period. This does not exclude refunds or other remedies where we fail to provide the service with reasonable care and skill.

7.3 After a paid subscription ends, paid features end and any remaining free features are governed by the offer available to your account. Ending a subscription does not withdraw applications already delivered to employers. Save any records you need before closing your account; storage and deletion are governed by our Privacy Policy.

8. Limits and fair use

8.1 We may queue or limit concurrent processing, pause retries and skip closed, duplicate, unsupported or restricted applications. We may require you to complete verification or another step yourself. We do not promise compatibility with every employer website or submission by a particular deadline. These measures do not introduce an undisclosed numerical cap on a plan sold as unlimited.

8.2 We may restrict access proportionately to investigate misuse, protect security, comply with law or respond to a legitimate restriction by an employer. We will explain a material restriction where lawful and practicable, and provide a way to contact us about it. Restrictions will last no longer than reasonably necessary.

8.3 Do not use the service to breach another party's rights or applicable application rules, access another person's account, disrupt systems or evade a restriction imposed on you. A paid plan does not grant permission to override an employer's requirements.

9. What we generate

9.1 Application materials and message classifications may be produced using artificial intelligence and other automated processing. They can contain errors or omit context. Interview or confirmation notifications are informational and do not replace reading the employer's original message. No generated content is legal, immigration or career advice.

9.2 We use the information you supply to describe you positively without intentionally inventing material facts. Optional diversity or other sensitive monitoring questions are ordinarily left unanswered or marked as a choice not to disclose. We will not infer sensitive personal characteristics from your name, photograph or background. Where a disclosure or personal declaration needs your specific input or consent, you may need to complete it yourself.

10. Employers and their systems

10.1 Employers and their recruitment service providers operate independently of Haystack and may have their own terms, privacy notices, technical requirements and retention policies. We are not endorsed by or affiliated with an employer or provider merely because we support an application to it. Nothing here overrides their rules or excuses our own legal responsibilities.

10.2 A queued or processing status is not proof of delivery. A submitted status reflects the confirmation available to us, not a guarantee that an employer will review your application. Once information has been delivered, we cannot guarantee its withdrawal, correction or deletion from an employer's systems. Contact the employer where necessary and notify us promptly of an error.

11. Suspending or ending your access

11.1 We may suspend or end access for a material breach, unresolved non-payment, unlawful use or a serious security risk. Where appropriate we will explain the reason and allow a reasonable opportunity to resolve it. If we end a paid service for a reason that is not your fault, we will refund the unused part of the paid period. Statutory rights remain unaffected.

11.2 We may make reasonable changes for security, legal, technical or service-improvement reasons. If we discontinue the service or materially reduce a core paid feature, we will give at least 30 days' notice where practicable and offer cancellation and a proportionate refund for the affected unused period. Urgent security or legal changes may take effect sooner, without removing your legal remedies.

12. Our responsibility to you

12.1 Nothing in these terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, deliberate misconduct, gross negligence where it cannot lawfully be limited, or any other liability or consumer right that cannot lawfully be excluded or restricted.

12.2 We are responsible for foreseeable loss caused by our breach of contract or failure to use reasonable care and skill. We are not responsible for loss that was not reasonably foreseeable, an employer's independent hiring decision, or loss caused solely by inaccurate information or unlawful instructions you provided. This does not exclude responsibility for our own contribution to a loss.

12.3 Auto Apply is for your personal job search, not business use. To the extent permitted by applicable law, we do not accept liability for business losses such as lost business profits or business interruption. We do not guarantee employment or reimbursement of a salary you hoped to earn. These provisions do not override section 12.1 or mandatory remedies for a defective service.

13. Changes to these terms

13.1 We may revise these terms for the reasons in section 11.2. A new version applies when you first accept it. For an existing contract, we will give at least 14 days' notice of a material change, explain its effect and your cancellation rights, and obtain fresh consent where required. Posting new terms does not retrospectively change applications already made or waive accrued rights. The longer notice in section 4.5 applies to price increases.

14. Law and disputes

14.1 English law governs these terms, but you keep the mandatory consumer protections of the country where you habitually live, including applicable protections in Germany, other European countries and the United States. Courts in England and Wales may hear disputes, but this does not take away any right you have to bring proceedings in your local courts. Nothing here requires arbitration or waives a right that cannot lawfully be waived.

14.2 For questions, complaints or to report an inaccurate application, contact hello@haystackapp.io. We will seek to resolve complaints fairly. If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law. You retain access to applicable courts and statutory complaint mechanisms.

15. Your application inbox and personal information

15.1 We provide an application email address and inbox for your job search. You authorise us to receive, store and process messages and attachments sent there to operate the inbox, organise application updates and perform steps within your application instructions. The address is part of the service and is not a general-purpose email account.

15.2 When email notifications are enabled, we send a Haystack alert to your chosen contact address directing you to your inbox. You can switch these alerts off in Preferences. Check the inbox regularly: notifications and classifications may be delayed, filtered or inaccurate and should not be your only way of tracking deadlines.

15.3 Application information is shared with the employers you select and the service providers needed to operate Auto Apply. Employers are independently responsible for their recruitment processing. Our Privacy Policy explains our processing, recipients, retention, international transfers and your rights. These terms do not replace a privacy notice or any separate consent required by law.

15.4 The application email address is used as the application contact address. Check uploaded documents and profile text for personal contact details you do not want an employer to receive; documents may contain details beyond the form's contact field. Keep your login secure and tell us promptly about suspected unauthorised access.

16. Your content and our service

16.1 You retain your rights in the materials you provide. You give us a limited permission to copy, adapt and transmit them as needed to provide the service and carry out your application instructions, subject to our Privacy Policy and applicable law. This does not transfer ownership of your CV or resume to Haystack.

16.2 Haystack and its licensors retain their rights in the service, branding, software and proprietary materials. You may use the service for its intended purpose but may not copy, resell or misuse those materials or seek unauthorised access. Restrictions on analysis or reverse engineering apply only to the extent permitted by applicable law and do not restrict non-waivable rights.
