The Opportunity

My Client is a prestigious, privately owned business operating across luxury property and retail, with a discerning international clientele and a strong reputation for exceptional service.

They are seeking a highly organised, discreet and proactive Executive Assistant to support the Founders and help ensure the smooth day-to-day running of the business.

This is a varied role combining executive support, diary and travel management, property administration and general office coordination.

Key Responsibilities

  • Provide comprehensive day-to-day support to the Founders.
  • Manage complex diaries, meetings and changing priorities.
  • Coordinate international and domestic travel, accommodation, transfers and itineraries.
  • Prepare meeting materials, briefing notes and supporting documentation.
  • Manage correspondence and act as a professional point of contact for clients, advisers and suppliers.
  • Monitor deadlines, actions, expenses and invoices.
  • Handle confidential and commercially sensitive information with discretion.
  • Coordinate property maintenance, repairs, cleaning, security and external contractors.
  • Liaise with suppliers, managing agents, landlords and professional service providers.
  • Support the preparation of offices, properties and retail spaces for meetings, viewings and events.
  • Manage post, couriers, deliveries, filing systems and administrative records.
  • Assist with property documentation, inventories, insurance information and supplier agreements.
  • Obtain quotes, coordinate contractors and support procurement.
  • Help improve administrative processes and working practices.

About You

You will be polished, dependable and highly organised, with the confidence to manage competing priorities and anticipate the needs of busy Founders.

You will have:

  • Previous experience as an Executive Assistant, Personal Assistant, Office Manager or in a similarly varied support role.
  • A stable career history with good longevity in previous positions.
  • Excellent diary, travel and organisational skills.
  • Strong attention to detail and communication skills.
  • The ability to remain calm and solutions-focused when priorities change.
  • Excellent discretion and sound judgement.
  • Strong Microsoft Office and general digital skills.
  • A professional and confident manner with high-profile and international contacts.
  • A genuine interest in luxury property, interiors, retail, hospitality or the wider luxury sector.

Experience within luxury property, family office, luxury retail, hospitality or another premium client-service environment would be advantageous but is not essential.

The Ideal Candidate

This role will suit someone proactive, hands-on and resourceful who enjoys being at the centre of a business and taking ownership of whatever needs to be done.

You should be equally comfortable managing complex international travel, supporting the Founders, coordinating contractors and dealing with practical day-to-day operational issues.
