Job Description
The Product Development and Production Coordinator owns the design side of PLM including setup, line lists, sample-review prep, data hygiene, and clean handoffs, while supporting the day-to-day mechanics of product development and production sourcing. Their mission is to keep design data clean and locked upstream so accurate product information flows to every downstream team- which includes Merchandising, Inventory Planning, Operations, and Marketing.
This is an ideal role for someone building their fashion career who is organized, comfortable with data and systems, and eager to learn how a garment goes from sketch to shelf.
This role is performed in-house in our Philadelphia office, M-F.
Responsibilities Will Include
PLM & Data Hygiene
- Collaborate with the product development team and Design Coordinator to build the seasonal allocation file. This includes inputting key details such as final fabric codes, print names, vendor allocations, and retail prices.
- Reconcile this data with the DC to ensure they can successfully generate a BOM file for each style, facilitating accurate integration into the PLM system.
Product Development Support
- Development calendar: Maintain the seasonal product development calendar and track key milestones (design handoff, tech-pack completion, sample rounds, PO placement, ex-factory, delivery).
- Sample tracking: Log and track samples through each stage (proto, fit, SMS, TOP), coordinate inbound/outbound sample shipping, and flag late or missing submissions.
- Tech packs & BOMs: Coordinate with design coordinators to keep tech packs, bills of materials, and spec sheets updated as revisions come in from design.
- Material approvals: Coordinate fabric, trim, lab-dip, and strike-off submissions and route them for approval.
Sourcing & Production Support
- Vendor communication: Manage day-to-day vendor correspondence — issue RFQs, chase quotes, and follow up on sample and costing requests.
- Costing support: Gather FOB and LDP quotes, build and update cost sheets, and track landed-cost components (freight, duty, Incoterms).
- PO tracking: Track purchase orders from placement through production to ex-factory, monitor work-in-progress, and surface delays early.
- Supplier database: Maintain supplier contacts, capabilities, and lead times, and keep supplier naming consistent across records.
Reviews, Handoffs & Compliance
- Sample-review prep: Prepare sample reviews so the right information and samples are ready for design decisions.
- Clean handoffs: Manage handoffs from design downstream and uphold PLM process standards with Sarah and Taila.
- Compliance documentation: Support compliance and labeling — CPSIA tracking labels and test reports for children's products, fiber-content and care labeling, and flammability certificates — kept complete and audit-ready ahead of each production run.
Cross-Functional Coordination
- Liaison: Act as connective tissue across design, merchandising, sourcing, QA, and logistics to keep everyone aligned on status.
- Standards & rollout: Partner with design, production, and systems stakeholders on PLM rollout and standards.
- Meeting prep: Prepare materials for vendor meetings, sourcing trips, and seasonal line reviews.
- Experience in design ops, product data/PLM, or product-development / production coordination (internships count toward early-career experience).
- Strong organizational skills and meticulous, detail-obsessed attention to accuracy.
- Excellent data-hygiene mindset; process-driven and comfortable setting and holding standards.
- Proficiency in Excel/Google Sheets and the ability to learn new systems quickly.
- Clear written and verbal communication; able to manage many open threads at once across functions.
- PLM experience (setup/admin a strong plus).
- Familiarity with tech packs, BOMs, and textile/garment terminology.
- Working knowledge of costing concepts (FOB, LDP, IMU) and Incoterms.
- Experience with an ERP/PLM (Fulfil or similar) and e-commerce platforms (Shopify).
- Exposure to product compliance (CPSIA, FTC labeling, flammability standards), especially for children's or sleepwear categories.
