Job Purpose
The HR Generalist provides day-to-day HR administration, employee lifecycle management, and on-site HR support for DataOne. The role acts as the first point of contact for employees and managers on HR matters, ensures accurate HRIS (Odoo) data, and supports the office in running smoothly, while contributing to recruitment and onboarding activities.
Key Responsibilities & Weighting
The role is structured across five core areas, weighed approximately as follows:
A. HR Administration & Employee Lifecycle
- Manage the full employee lifecycle: contracts, onboarding paperwork, transfers, promotions, and offboarding/exit formalities.
- Prepare and issue employment contracts, amendments, certificates, and other HR letters in line with company policy and local labor law.
- Maintain accurate, up-to-date, and confidential employee files (physical and digital).
- Administer leave, absence, and attendance records; follow up on discrepancies with managers and employees.
- Support payroll input by consolidating and verifying variable elements (leaves, absences, new hires, exits) ahead of payroll deadlines.
- Ensure compliance with internal HR policies, labor regulations, and audit requirements.
- Respond to employee queries on HR policies, benefits, and administrative procedures.
B. Recruitment Support & Onboarding
- Support hiring managers with job postings, CV screening, and interview scheduling.
- Coordinate candidate communication throughout the recruitment process, ensuring a positive candidate experience.
- Assist with reference checks and preparation of job offers.
- Organize and facilitate new hire onboarding, including welcome sessions, induction schedules, and required documentation.
- Coordinate with IT, facilities, and department heads to ensure new employees are equipped and ready on day one.
- Track and follow up on probationary period milestones and reviews.
C. Site & Office Administration
- Oversee day-to-day office administration, including supplies, vendor coordination, and facilities-related requests.
- Serve as a point of contact for site services (maintenance, security, cleaning, catering, etc.) and liaise with external providers as needed.
- Support site health, safety, and compliance requirements, including maintaining relevant registers and documentation.
- Coordinate site logistics for meetings, visits, and employee events.
- Manage office-related budgets or expense tracking as delegated.
D. Employee Relations Support & Site HR Presence
- Provide a visible, approachable HR presence on-site, building trust with employees and managers.
- Act as a first point of contact for employee concerns, escalating and supporting resolution of grievances or conflicts as appropriate.
- Support managers with guidance on performance management, disciplinary processes, and policy application.
- Help organize and support employee engagement initiatives and internal communications on-site.
- Monitor employee sentiment and flag emerging issues to the HR Manager.
E. HR Reporting & Odoo HRIS Data Quality
- Maintain accurate and timely data entry in the Odoo HRIS across all employee lifecycle events.
- Run regular data quality checks and correct discrepancies in employee records.
- Generate standard HR reports and dashboards (headcount, turnover, absence, etc.) as requested.
- Support the HR Manager with ad hoc reporting and data extraction for business or compliance needs.

Requirements
Education & Experience
- Bachelor’s degree in human resources, Business Administration, or a related field.
- 2–4 years of experience in an HR generalist, HR administrator, or similar role.
- Experience working with an HRIS system (Odoo/ADP/Paycom/TriNet experience is a strong plus).
Skills & Competencies
- Strong knowledge of HR administration processes and local labor law.
- Excellent organizational skills with strong attention to detail and confidentiality.
- Good interpersonal and communication skills, with the ability to build trust across all levels of the organization.
- Ability to manage multiple priorities across administration, recruitment, and site operations.
- Proficiency in Microsoft Office / Google Workspace; comfort with HRIS and reporting tools.
- A proactive, hands-on, and service-oriented mindset.
