Job Description

About Us:

At Customer Alliance, we are literally obsessed with feedback - and that reflects in the culture and the product we’re building. We’re a diverse team (comprising 19 nationalities!) who support and inspire each other every day. We pride ourselves on a positive and growth-oriented work environment where employees are encouraged to share ideas, develop their skills, and have plenty of fun along the way.

About the role:

Customer Alliance runs on a stack of GTM systems, HubSpot, and the workflows Sales, Customer Success, Support, and Marketing depend on every day, that used to be run by hand. AI Operations exists to change that: taking manual, repetitive work out of those systems and replacing it with AI agents and automations that actually hold up in production, not just in a demo.

This role owns that build. You'll take an AI Ops initiative from idea to a live, reliable workflow inside HubSpot and connected tools, and you'll take over and maintain the AI systems already running across Sales, CS, Support, and Marketing.

You'll prototype, build, and ship these workflows yourself, using Claude, ChatGPT, and HubSpot's own tooling, rather than handing off specs for someone else to build. This is a builder role. You're not a traditional RevOps analyst, and you're not a software engineer. You sit in between: close enough to the tools to build and ship real things, close enough to Sales, CS, Support, and Marketing to know what's actually worth automating.

What you'll do

Discover and prioritize

  • Identify where AI can cut manual work or improve outcomes across Sales, CS, Support, and Marketing

  • Talk to those teams to understand their workflows and validate what's worth automating

  • Maintain a focused backlog, balancing individual team requests against reusable, scalable capability

Build, ship, and run

  • Build and ship AI agents and automations using Claude, ChatGPT, and HubSpot workflows and APIs

  • Take over and maintain the AI systems already running across GTM, keeping them reliable and improving them over time

  • Monitor workflow performance, investigate failures, and iterate based on real usage

Evaluate and experiment

  • Continuously test AI tools, models, and platforms against what we're currently using, and switch when something is meaningfully better

  • Evaluate and, where it's needed, introduce a dedicated automation platform (Zapier, Make, n8n, or similar)

  • Stay current on what's changing in AI tooling relevant to GTM ops, new models, automation platforms, HubSpot's own AI features, and bring back what's worth trying

  • Run small pilots before committing a live workflow to a new tool

Enable and document

  • Roll out new workflows to the teams that use them: short setup guides, brief training, and clear communication about what changed

  • Keep enough documentation for handoff and continuity, what a workflow does, what it touches, how to fix it when it breaks, without turning documentation into the job

  • Collect feedback from Sales, CS, Support, and Marketing and feed it back into what you build next

Ownership and review

You own AI Ops initiatives end to end: discovery, building, shipping, and maintaining the workflows and agents that run across Sales, CS, Support, and Marketing.

Anything shipping into a live workflow that touches customer data is reviewed with the Head of Product and AI Operations first. As you build a track record, that review gets lighter.

You also own the data and privacy practice for how these tools handle customer data: what can go into which AI tools, keeping confidential data out of unapproved ones, and the guardrails the rest of the team follows. Basic GDPR literacy expected on day one, deeper training provided on the job.

What you'll bring

  • A strong operations mindset: you think in terms of what's manual, repetitive, or error-prone, and how to fix it

  • At least 1 year of experience in an operations, RevOps, systems, or builder-adjacent role

  • Genuine curiosity about applied AI: what these tools can actually do inside a GTM stack, not just in theory

  • Hands-on comfort with HubSpot or a similar CRM: workflows, fields, basic configuration

  • Comfort with ambiguity. This role won't come with a fixed playbook

  • Strong written and verbal communication, you'll be explaining what changed to non-technical teams often

  • An example of something you've built, configured, or automated: a HubSpot workflow, a script, an AI-assisted process, or similar. We care about the problem you solved and what you learned.

You'll develop these over time, with support: prompt design for production use cases, evaluating and configuring automation platforms, basic API concepts, and the data governance practice for AI tools.

Nice to have: experience with Claude, ChatGPT, or similar AI tools in a work setting, exposure to Sales, CS, Support, or Marketing operations, and interest in SaaS or GTM systems.

What We Offer:

  • An international team and great atmosphere with regular events.

  • Work from our dedicated Mindspace office in central Berlin (Hausvogteiplatz, Mitte) 2-3 days a week, with flexibility around that.

  • Full membership at Mindspace (co-working), allowing you to work from any of their locations.

  • Work with highly experienced and capable people motivated to build great products.

  • Budget to bring remote team members together and work in person.

  • Earn extra vacation days each year (Start 26 days, Max 34 days).

  • FitX gym membership, available at all locations.
