Job Description

Job Title: Administrative Assistant

Mode: Full-Time

Location: Shelton, CT (Onsite)

 

Job Summary:

We are seeking a highly organized, detail-oriented, and polished Administrative Assistant to support the Saisystems Technology team and provide additional administrative support across Saisystems International and its related entities. This is an on-site, hands-on role for someone who takes ownership, follows through, and enjoys managing a variety of responsibilities. The ideal candidate is professional, resourceful, adaptable, and comfortable coordinating across U.S. and offshore teams while maintaining a high standard of accuracy and execution.

Key Responsibilities:

·        Provide administrative support to the Saisystems Technology team, including general administrative needs, documentation, coordination, and special projects.

·        Coordinate with offshore Human Resources, Operations, and Finance teams, serving as a U.S.-based liaison to facilitate information, requests, documentation, and follow-up.

·        Manage and execute customer and vendor contracts through the company's document signing software, including document preparation, routing, signatures, tracking, and maintaining organized records.

·        Assist with client visits, company meetings, events, and special projects, ensuring details are organized and professionally executed.

·        Provide administrative support to the parent company, Saisystems International, and its related entities for business and personal matters as requested.

·        Coordinate with internal teams and external vendors on administrative matters and ensure requests and tasks are followed through to completion.

·        Provide basic Human Resources administrative support, including onboarding and offboarding, employee documentation, benefit administration, and basic payroll processing through ADP.

·        Maintain organized records and handle confidential business, employee, and personal information with discretion.

·        Serve as a dependable administrative resource, proactively identifying needs and ensuring tasks are completed accurately and timely.

Qualifications & Requirements:

·        College degree required; prior administrative or office experience preferred.

·        Exceptionally organized and detail-oriented, with strong ownership and follow-through.

·        High standard of quality and execution with the ability to anticipate needs.

·        Strong ability to multitask, prioritize, and manage multiple deadlines and details.

·        Professional and polished when interacting with clients, vendors, employees, and leadership.

·        Resourceful, adaptable, and eager to learn and take on new responsibilities.

·        Comfortable working independently and coordinating with both U.S. and offshore teams.

·        Strong written and verbal communication skills.

·        Ability to handle confidential and sensitive information with discretion.

·        Comfortable learning new technology, systems, and processes.

·        This position operates on-site in a professional office environment in Shelton, CT.
