Workplace Project Manager

Location: Central London (Hybrid)

Salary: £90,000

Contract: 2 Year Fixed Term Contract

About the Role

We are seeking an experienced and commercially minded Workplace Project Manager to lead a major workplace transformation and office relocation programme for a well established London charity.

Working client side, you will manage the programme from early strategy through to occupation of the new office, ensuring the charity’s people, operations and services remain fully supported throughout the transition.

The role will involve supporting the disposal of the current premises, leading the search and assessment of potential new offices, and overseeing the design, fit out and successful mobilisation of the new workplace. You will work closely with senior leaders, trustees, employees and external advisers, acting as the central point of coordination across all workstreams.

This is an excellent opportunity for someone who combines strong property and workplace project experience with the ability to build trusted relationships and manage a broad range of stakeholders.

Key Responsibilities

• Lead the workplace transformation and relocation programme from initial strategy through to completion, ensuring delivery to agreed budget, timescales and quality standards.

• Develop and manage a detailed project plan covering property, design, fit out, technology, operational readiness, communications and change management.

• Support the disposal or exit of the current office premises, working with agents, solicitors and other professional advisers.

• Lead the search, evaluation and selection of a suitable new office location.

• Coordinate feasibility studies, building surveys, due diligence and commercial assessments.

• Manage relationships with landlords, property agents, surveyors, legal advisers, workplace consultants, architects, designers and contractors.

• Oversee workplace design, space planning, fit out, furniture, technology requirements and move logistics.

• Act as the key client side contact for senior leadership, staff, trustees and external suppliers.

• Build strong stakeholder relationships and ensure colleagues are engaged and informed throughout the programme.

• Develop and deliver a clear employee communication and change management plan.

• Manage project budgets, procurement activity, reporting and financial controls.

• Identify, monitor and mitigate risks, ensuring appropriate governance and escalation arrangements are in place.

• Develop and implement a move and business continuity plan to minimise disruption to the charity’s services.

• Ensure all relevant health and safety, statutory, accessibility and compliance requirements are met.

• Prepare clear progress reports, recommendations and presentations for senior leadership and project boards.

About You

You will be an experienced Workplace Project Manager with a strong track record of delivering office relocations, workplace transformations, fit out projects or estate related programmes.

You will be confident working client side and comfortable engaging with stakeholders at all levels, including senior leaders, trustees, employees and external advisers. You will bring a calm, organised and solutions focused approach to managing complex projects with multiple moving parts.

Essential Experience

• Proven experience managing office relocation, workplace transformation or corporate property projects.

• Experience working client side, coordinating multiple internal stakeholders and external suppliers.

• Strong stakeholder management skills, with the ability to influence and build confidence at senior level.

• Experience managing workplace design, fit out, furniture, IT and move planning workstreams.

• Experience supporting property searches, lease events, acquisitions, disposals or commercial property transactions.

• Strong project planning, budget management, governance and reporting skills.

• Experience managing external consultants, including architects, designers, surveyors, legal advisers, contractors and workplace specialists.

• Ability to manage risk, resolve issues and maintain momentum across complex workstreams.

• Excellent written and verbal communication skills.

• Ability to balance strategic planning with hands on delivery.

Desirable Experience

• A project management qualification such as PRINCE2, APM or PMP.

• Experience working within a charity, not for profit, membership body, professional body, public sector or purpose led organisation.

• Experience managing organisational change and employee engagement during a relocation or workplace change programme.

• Knowledge of commercial property, lease transactions and office fit out processes.
