Job description

We’re all about helping our members make the most of their money. And while they go after their goals, you can too. As a Board Coordinator, you’ll provide high-level administrative support to our Secretariat and Accountability team, helping our Boards and Committees operate effectively. You’ll work closely with Company Secretaries and other stakeholders to coordinate meetings, prepare and distribute Board and Committee materials, maintain important records and support governance processes.

It’s an opportunity to bring your administration and coordination skills into an environment where accuracy matters, while gaining valuable exposure to company secretarial and Board operations.

This role is available as a full-time permanent and is based in Brisbane or Sydney.

Day to day, you'll:

  • Coordinate Board and Committee meeting invitations, schedules and logistics.
  • Support Company Secretaries with meeting documentation, including template minutes and associated reporting.
  • Coordinate and distribute Board and Committee packs using Diligent and PDF formats.
  • Provide practical support for Board and Committee meetings, including assistance on meeting days.
  • Complete post-meeting activities, including distributing relevant papers across the business.
  • Support document execution and ensure contracts and governance documentation are appropriately stored in SharePoint.
  • Coordinate responses to auditor, regulatory and other external information requests in line with internal processes.
  • Maintain Secretariat and Accountability procedures, checklists and registers.
  • Help keep Board papers, minutes, circular resolutions and other important documents accurately maintained in SharePoint.

It goes without saying you'll be a great communicator with top notch interpersonal skills. We'll also expect you to pick up problems and come up with quick, creative ways to solve them. It's quite likely you tick some of the following boxes too:

  • You have intermediate to advanced skills across Microsoft Outlook, Word, Excel, SharePoint and PowerPoint.
  • Your organisational skills help you confidently coordinate competing priorities and multiple deadlines.
  • You'll bring strong written and verbal communication skills and work effectively with people at different levels.
  • You're highly attentive to detail and understand the importance of accuracy when working with Board and governance documentation.
  • You understand the importance of confidentiality and can handle sensitive information with discretion.
  • Your approach is organised, proactive and adaptable when priorities change.
  • You'll ideally have previous experience using Diligent or a similar Board management platform.
  • You're comfortable working collaboratively while taking ownership of detailed administrative and coordination activities.
