Job Description

Position Summary

The Communications department seeks a detail-oriented, administratively focused temporary staff member to provide day-to-day operational support across the team's publications, digital, and events workstreams. The ideal candidate is someone who thrives on organization, accuracy, and keeping multiple moving pieces on track.

Position Duties and Responsibilities

Asset & Database Management

  • Maintain and update the Lightroom photo database
  • Archive Communications materials on the PA Drive

Photography & Vendor Coordination

  • Book photographers for Institute events and editorial needs
  • Provide staffing and back-end support for Communications-led events, including Photo Day

Advertising & Publications Support

  • Coordinate the placement of Town Topics advertisements
  • Coordinate reviews and approvals for print publications
  • Collect and organize resources for the Scholarship Report, Record of Events, and News of the Institute Community (within the Institute Letter)

Editorial Support

  • Copyedit materials for Events promotions
  • Draft eNews content for wider team review
  • Process and track correction requests

Digital & Website

  • Upload Communications content (e.g., IAS News articles) to the website
  • Update website press clips on an ongoing basis
  • Perform periodic website updates, including boilerplate language and publication PDFs

Monitoring & Reporting

  • Conduct baseline news and social media monitoring
  • Collect metrics and supporting resources for departmental reporting

All other duties assigned


Minimum Qualifications

  • Experience in communications or a related field
  • Strong written and verbal communication skills
  • Excellent organizational skills with strong attention to detail
  • Ability to multitask in a fast-paced environment
  • Proficiency with Microsoft 356 programs (e.g., Word, Excel) and collaboration tools

Preferred Qualifications

  • Adobe Lightroom experience
  • Experience supporting events and coordinating with external vendors

Working Conditions

  • Must be able to remain mobile for prolonged periods of time.
  • Public-facing position with frequent interaction with staff, faculty, and scholars.

The anticipated pay range for this position is $25.00 - $30.00 per hour. This is a temporary non-benefit-eligible position. NJ Paid Sick Leave accrual is available.
