Position: Executive Assistant (EA) to the CEO (with Office Manager responsibilities)

Location: London, UK

Type: Permanent, Full Time - On-site Tuesday, Wednesday, Thursday.

Role Overview:

This role is a combination of EA and Office Manager responsibilities. Primarily providing EA support to the CEO and Founder, the EA will need to be a problem-solver with resilience to match. Confident, resourceful, and a strong communicator, you will handle a variety of tasks with efficiency and finesse. From managing schedules and emails, you will also be responsible for the day-to-day management of the office, including property-related needs. The EA will be at the heart of the action, helping a growing team succeed.


This is a role for someone with energy, fun and a positive outlook – Someone bright with initiative and excellent coordination experience. The successful candidate will enjoy working with others in a small, fast-paced start-up environment.


Key Responsibilities:


EA to CEO

● Act as the first point of contact for the CEO, managing phone calls and correspondence, assessing incoming emails and messages, responding directly where appropriate, and ensuring all replies are thoughtful and timely.

● Draft professional correspondence on the CEO's behalf, and maintain efficient communication flow while building strong relationships internally and externally.

● Manage an exceptionally busy calendar spanning business and personal commitments, anticipating conflicts and prioritising effectively.

● Organise and maintain filing systems (digital and physical) so information is easy to locate and retrieve.

● Ensure communication flows efficiently while maintaining excellent relationships internally and externally.

● Coordinate travel arrangements for the CEO and staff, including itineraries, bookings, and logistics. ● Support the planning and execution of company events.


Office Manager

● Work closely with and support the Director of Finance and Operations.

● Undertake activities to support the smooth running of the office, including visitor reception; meeting support (including room bookings and catering arrangements); central diary coordination; and supplier liaison.

● Coordinate building-related needs and maintenance.

● Assist in staff recruitment, coordinate employee onboarding, and keep personnel records updated. ● Be the liaison between the external IT support and staff


Essential Skills and Experience:

● Significant experience operating as executive assistant to a Founder, CEO or Senior Executive, ideally in a media environment.

● Exceptional organisation and prioritisation skills, with strong diary and inbox management.

● Skilled in composing letters, drafting proposals, and preparing presentations, Detail-orientated.

● The ability to communicate at all levels, Self-motivated and confident in making decisions autonomously.

● Enthusiasm, initiative and a pragmatic approach to problem solving.

● Discretion and confidentiality are essential.
