The Catering Sales & Event Coordinator is responsible for building and maintaining strong client relationships while supporting the sales and events team in driving business growth. This role acts as the key point of contact for clients, manages inquiries, and payment processing. The Catering Sales & Event Coordinator will utilize our bookings systems, including but not limited to Tock and Toast, and may assist with proposals, contracts, banquet event orders, and banquet operations’ administrative needs. This position reports to the Director of Catering and Events.

Essential Job Functions / Key Job Responsibilities 

  • Serves as primary contact for clients, responding to inquiries and providing detailed event information 
  • Responds to reservation inquiries for company restaurants, group reservations, and snowcat dinner reservations 
  • Assists in the coordination of site visits/property tours and client meetings to showcase event spaces and offerings 
  • Assists in processing client deposits, managing payment schedules, and ensuring contract compliance 
  • Assists with special sales initiatives 
  • Produces, reviews, and distributes Banquet Event Orders and floor plans with all relevant staff  
  • Assists Banquet operations with administrative needs, i.e. menu signage, uniform coordination, nametags,  
  • Provides exceptional customer service and builds long-term client relationships through proactive communication 
  • Other duties as assigned 

Education & Experience Requirements 

  • Must be 21 years or older 
  • High school diploma or equivalent required 
  • College degree preferred  
  • 2 years previous administrative experience required 
  • 2 years previous catering and hospitality sales experience preferred 

Knowledge, Skills & Abilities  

  • Ability to communicate and follow oral or written directions in English is required  
  • Strong typing skills and excellent telephone skills required 
  • Strong computer knowledge required, specifically Microsoft Word, PowerPoint, and Excel  
  • Ability to work in collaboration with others to achieve team goals   
  • Ability to remain focused, organized, flexible, and detail-oriented 
  • Follows all safety policies and procedures and exercises caution when working  

Work Environment & Physical Demands

  • Ability to be on your feet, kneel and bend for extended periods of time  
  • Regularly work in adverse conditions and requiring the use of protective apparel/equipment to prevent exposure to the elements as well as an office environment and may be required to walk on slippery and uneven surfaces 
  • Must be able to lift, push or pull up to 50 lbs. individually or with assistance
