The Opportunity
This is a hands-on, on-site bookkeeping role at a fast-growing New Jersey company. 911inform serves roughly 400 customers, carries a full accounts payable load, and maintains separate books for an affiliated entity. Keeping all of that accurate, reconciled, and closed on time is a full-time job, and it is the job.
You will own the day-to-day books. Accounts payable, accounts receivable, reconciliations, the general ledger, and month-end close all run through you. You will work in QuickBooks every day, alongside the billing team and the company's outside finance advisors, and you will have a real hand in the ongoing consolidation from QuickBooks Desktop Enterprise onto QuickBooks Online.
This is a seat for an experienced full-charge bookkeeper who wants ownership rather than a narrow slice. If you take real satisfaction in a clean close and books that tie out, this is a good seat.
What You Will Do
- Full-cycle accounts payable. Enter, code, and schedule vendor bills, manage payment runs, and keep vendor records and W-9s current.
- Accounts receivable. Apply payments, monitor AR aging, and follow up on past due accounts. Customer invoicing is handled by the billing team, and you keep the receivable side accurate and current.
- Reconciliations. Reconcile bank, credit card, and merchant accounts monthly, and investigate anything that does not tie out.
- General ledger and journal entries. Maintain the chart of accounts, post journal entries, record payroll and accruals, and keep the GL clean.
- Month-end close. Run the close on a set schedule and deliver accurate, reconciled financials on time.
- Financial reporting. Prepare profit and loss, balance sheet, and cash flow reporting for leadership and the company's outside finance advisors.
- Clean entity separation. Maintain strict separation between 911inform and its affiliated entity across all accounting records, including intercompany activity. This is a compliance requirement for the company, not a preference.
- QuickBooks consolidation. Support the migration from QuickBooks Desktop Enterprise onto QuickBooks Online, including data cleanup and validating that balances carry over correctly.
- Year-end and filings. Prepare 1099s, support sales and use tax filings where applicable, and assemble year-end workpapers for the outside CPA.
- Documentation and process. Keep backup matched and filed so nothing gets lost between sales, project management, and accounting, and document the procedures you build.
- Flagging problems. Speak up when something looks wrong. Small accounting errors compound fast, and the person closest to the data usually sees them first.
What You Bring
- QuickBooks proficiency. 911inform currently runs both QuickBooks Desktop (Enterprise) and QuickBooks Online, and is consolidating onto QuickBooks Online. Hands-on daily experience in either is required. Experience in both is ideal. This is a hard requirement, not a nice to have.
- 5+ years of bookkeeping experience. Full-charge or senior bookkeeping where AP, AR, reconciliations, and the general ledger were all yours.
- Month-end close ownership. You have run a close start to finish and delivered financials on a deadline, not just supported someone else's.
- Real attention to detail. This role is high volume and the mistakes are expensive. Our client is looking for someone who catches their own errors before anyone else does.
- Multitasking without dropping things. Several deadlines, several requests, several people waiting. You need a system for keeping track.
- Comfort with a fast pace. Priorities shift, growth is steady, and processes are still being built. You will need to be flexible while staying organized.
- Solid Excel. Comfortable working with spreadsheets to sort, check, and reconcile financial data.
- Discretion. You will be close to payroll, vendor, and financial information. It stays with you.
- Clear, direct communication. You will be asking sales, project managers, and operations for information they owe you. Following up politely and persistently matters.
- On-site availability. This role is fully on-site in Wall Township, New Jersey. It is not remote or hybrid.
Nice to Have
- Bookkeeping experience in a SaaS, subscription, or recurring revenue business
- Experience maintaining books across more than one legal entity, including intercompany transactions
- Experience migrating from QuickBooks Desktop to QuickBooks Online
- Exposure to procurement, purchase orders, or value-added reseller billing
- Coursework, a degree, or a certification in accounting or bookkeeping, including QuickBooks ProAdvisor
- Base salary. $65,000 to $75,000 per year, depending on experience.
