Location: Boston, MA
Compensation: $75,000–$90,000 annually
Schedule: Hybrid – 3 Days In Office / 2 Days Remote
Experience: 5+ Years Required; 10–20+ Years Strongly Preferred

Position Overview

A nationally recognized litigation law firm is seeking an experienced Litigation Legal Administrative Assistant to join its Boston office. This position will provide high-level administrative and litigation support to attorneys and paralegals handling sophisticated civil matters.

The ideal candidate is a seasoned legal administrative professional with extensive litigation experience, strong knowledge of Massachusetts and federal court procedures, and the ability to independently manage multiple attorneys, deadlines, filings, and administrative responsibilities in a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative and secretarial support to assigned attorneys and paralegals.
  • Draft, format, edit, proofread, and finalize briefs, pleadings, correspondence, motions, discovery materials, and other legal documents.
  • Prepare Tables of Contents and Tables of Authorities.
  • Create document shells and assist attorneys with motions, discovery, hearings, and trial preparation.
  • Electronically file documents with Massachusetts state and federal courts.
  • Maintain knowledge of applicable state and federal court rules, filing procedures, and deadlines.
  • Proofread legal documents for formatting, accuracy, completeness, and compliance prior to filing or distribution.
  • Maintain organized and up-to-date electronic client and matter files.
  • Manage attorney calendars, appointments, court dates, filing deadlines, meetings, and other critical dates through Outlook.
  • Coordinate attorney travel arrangements and prepare expense and mileage reimbursements.
  • Enter, review, and revise attorney time entries and applicable litigation codes.
  • Review vendor invoices and prepare check requests and payment submissions.
  • Assist with prebill editing and coordinate with billing personnel to ensure accurate and timely client invoicing.
  • Assist with conflict checks and new matter procedures.
  • Provide professional telephone and client support on behalf of assigned attorneys.
  • Assist attorneys and paralegals with trial preparation and other litigation-related projects as needed.

Qualifications

  • 5+ years of experience as a litigation legal administrative assistant or litigation legal secretary required.
  • Candidates with 10–20+ years of sophisticated litigation support experience are strongly encouraged to apply.
  • High school diploma required; college degree preferred but not required.
  • Strong experience with state and federal electronic court filing is required.
  • Knowledge of Massachusetts state and federal court rules and procedures, including familiarity with Massachusetts Superior Court Rule 9A, strongly preferred.
  • Advanced proficiency with Microsoft Word and Outlook; proficiency with Excel and PowerPoint.
  • Experience with legal technology and filing platforms such as PACER, ECF, Odyssey, File & ServeXpress, LexisNexis, and iManage, or comparable systems.
  • Experience with Aderant or similar legal billing software is a plus.
  • Notary Public designation is a plus but not required.
  • Experience supporting attorneys in complex civil litigation is strongly preferred.

Compensation & Benefits

Salary: $75,000–$90,000 annually, depending on experience and qualifications.
