Finance Associate
Owner, with day-to-day guidance from the practice's external accounting partner
As the practice has grown, finance tasks that were once spread across front-desk staff, ownership, and an outside accountant need a dedicated person to keep them accurate and on schedule. The Finance Associate is that person. This role handles the daily transaction work that keeps the practice running: paying vendors accurately and on time, recording and reconciling the money coming in, and keeping bank, credit card, and merchant accounts reconciled across all ten locations.
This is an entry-level to early-career role, and recent graduates are encouraged to apply. The Finance Associate will work closely with the practice's external accounting firm, which will provide day-to-day guidance and training, while reporting to the Owner. The accounting partner continues to lead month-end close, forecasting, tax strategy, and technical accounting. Over time, the Finance Associate will take on a larger share of that work as skills and confidence grow. Accounts Payable
Process accounts payable across all ten locations, from invoice receipt through payment and filing.
Keep vendor records current, including W-9 collection and 1099 tracking. Research invoice discrepancies, duplicate billings, and vendor statement differences, and bring unresolved items to the Owner or accounting partner. Prepare a weekly cash disbursement summary for Owner review and approval. Accounts Receivable
Post and reconcile cash receipts daily by location, including insurance remittances, patient payments, and merchant deposits. Work with the billing and front-desk teams so clinical revenue and financial records stay aligned.
Reconcile merchant processing statements to the general ledger and research settlement differences. Reconciliations
Reconcile all bank, credit card, and merchant accounts monthly. Maintain organized supporting documentation for each reconciliation. Prepare reconciliations and data requested by the accounting partner to support month-end close and year-end work. Serve as a finance point of contact for location managers on payables, receipts, and documentation questions. Follow established finance policies for cash handling, purchasing approvals, and expense reimbursement.
Support payroll reconciliation in coordination with the payroll provider and HR. Handle all financial and patient-related information in a manner consistent with HIPAA and practice confidentiality policy. Maintain financial records in line with the practice's retention policy. As the Finance Associate demonstrates accuracy and independence, the role is expected to grow to include:
Assisting with the monthly financial statement package and variance explanations. Supporting a rolling thirteen week cash flow forecast and the annual budget.
Building and maintaining a location-level performance dashboard. Periodic location visits to review cash handling and documentation practices. The pace of this growth will be set together with the Owner and the accounting partner. Bachelor's degree in accounting, finance, or a related field, or expected completion before start date. Zero to two years of accounting or finance experience. Internships, co-ops, and relevant coursework count. Understanding of basic accounting principles, including debits and credits, accruals, and reconciliations.
Solid spreadsheet skills, including sorting, filtering, basic formulas, and lookup functions. Comfort learning accounting software and new systems quickly. Clear written and verbal communication, including with people who are not finance professionals. Demonstrated discretion with confidential information. Bilingual in English and Spanish. Given the communities Dominguez Chiropractic serves and the makeup of the staff and vendor base, this is a meaningful advantage in this role. Exposure to healthcare, medical, dental, or chiropractic settings.
Hands-on experience with QuickBooks or another general ledger system. Familiarity with insurance reimbursement or explanation of benefits documents. Interest in pursuing CPA or CMA certification. Raises problems early and in plain language. Performance Expectations
Learn the current accounts payable, accounts receivable, and reconciliation processes across all ten locations. Meet with the Owner, the external accounting partner, location leadership, and the billing team. Process payables and post daily receipts with review from the accounting partner.
Complete monthly bank, credit card, and merchant reconciliations with limited review. Deliver reconciliations on schedule each month without prompting. Document the AP, AR, and reconciliation procedures in writing. Begin assisting the accounting partner with month-end close tasks. Reconciliations completed accurately and on schedule every month. Full-time position, primarily based at [primary office location]. Occasional travel to clinic locations across Georgia. Standard office environment with extended periods of computer work.
