Job Description

Position Summary

The Administrative Support Specialist provides day-to-day support to the Communications, Compliance & Finished Goods Department through financial record-keeping, reporting, invoice entry, inventory documentation, and administrative functions. This position also assists with operational and regulatory records related to the Company’s distilling and bottling activities.

The ideal candidate is organized, detail-oriented, dependable, and comfortable working with financial records and multiple systems. This position works closely with Accounting and Distribution Operations and may assist with additional responsibilities as business needs arise.

Essential Duties & Responsibilities

  • Enter and itemize invoices in QuickBooks.
  • Complete assigned accounting reports and records.
  • Complete daily, monthly, shipping, and other assigned operations reports.
  • Maintain assigned TTB-related records and documentation.
  • Maintain receiving, bottling, and basic barrel inventory records.
  • Close completed orders in the applicable system.
  • Maintain organized files and records, including annual record retention.
  • Order office supplies.
  • Perform other related duties as assigned.
  • Proficiency with Microsoft Office (Excel, Word, etc.).
  • Demonstrate a welcoming, professional presence in all guest/coworker interactions, including customer service duties and occasional phone support, with an emphasis on hospitality and representing the organization positively.

Qualifications

  • Bachelor’s degree in Accounting or a related field preferred.
  • Relevant accounting experience may be considered in lieu of a degree.
  • QuickBooks experience preferred.
  • Strong organizational skills and attention to detail.
  • Ability to learn and follow established accounting and regulatory processes.
