We are seeking an exceptional Personal Assistant to provide comprehensive maternity cover for the executive leadership team at a premier global media agency. Operating at the heart of the business, you will serve as the crucial linchpin that keeps the agency’s top executives organized, prepared, and operating at peak efficiency.
In this fast-paced and highly visible role, your primary objective is to ensure seamless coordination across the leadership team’s daily operations. By expertly navigating complex schedules and triaging incoming requests, you will enable the executive team to remain laser-focused on overarching strategic initiatives, client success, and sustainable business growth.
What You Will Do
Executive Schedule & Travel Coordination
- Manage and prioritize complex leadership team calendars, taking ownership of scheduling meetings and coordinating high-level appointments.
- Organize end-to-end domestic and international travel arrangements, including booking flights, securing accommodation, and proactively managing detailed itineraries.
Communication & Administrative Support
- Act as the highly professional first point of contact for internal teams and external clients, promptly handling queries and effectively addressing issues.
- Prepare critical business documents, compelling presentations, and detailed reports as required by the leadership team.
- Assist in the seamless organization of team meetings and corporate events, taking responsibility for preparing agendas and recording accurate minutes.
What You Bring to the Table
- Administrative Excellence: Proven track record of experience acting as a Personal Assistant or providing high-level administrative support within a fast-paced, dynamic corporate environment.
- Masterful Organization: Exceptional time management skills, coupled with the proven ability to seamlessly multitask, prioritize effectively, and adapt to shifting daily demands.
- Stakeholder Engagement: Strong communication and interpersonal skills, exhibiting the professional confidence required to liaise effortlessly with senior stakeholders and VIP clients.
- Technical Proficiency: Advanced daily user of the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Professional Discretion: Unwavering integrity and the mature ability to handle highly sensitive business information while maintaining absolute confidentiality.
