Job Description
About Allied Maker
Allied Maker delivers luxury-crafted, highly engineered, sophisticated yet simple lighting fixtures, proudly produced in the United States and shared worldwide. We are passionate about using the finest materials, embracing natural patinas, and honoring the art of artisan craftsmanship. We create our parts in-house and collaborate with the best local makers to produce fixtures made with love by skilled artisans.
Founded in 2012 as a garage woodworking studio on the North Shore of Long Island, Allied Maker has grown into a design studio with a strong manufacturing backbone. How we care for our clients is central to everything we build.
The Role
Allied Maker is seeking an organized, dependable, and highly responsive Production Coordinator to support our production team.
This is a hands-on role for someone who is comfortable moving between administrative work and the production floor. The Production Coordinator helps ensure that orders, materials, information, and communication move cleanly through the company.
You will confirm shipping information, monitor order readiness, communicate production delays, help coordinate inventory, move materials between departments, and provide day-to-day support to Production Managers. The role requires someone who notices what is missing, follows up without being prompted, and stays with an issue until it is resolved.
This position sits at an important point between production, inventory, sales, dispatch, and the client. Clear communication and accurate information are essential. When an order changes or a delay occurs, the Production Coordinator helps ensure that the right people know promptly and that the information is documented correctly.
The right person will be highly organized, comfortable in an active manufacturing environment, and willing to help wherever needed. They will understand that small details, such as an unconfirmed address, missing component, or uncommunicated delay, can have a significant effect on the client experience.
Key Responsibilities
Order and Shipping Confirmation
- Review upcoming orders and confirm that shipping addresses and contact information are complete and accurate
- Contact clients or work with the Sales team to resolve missing or conflicting shipping information
- Verify shipping instructions, split-shipment requests, and other order-specific requirements
- Confirm that order information is properly documented in internal systems
- Identify issues that could prevent an order from shipping and escalate them promptly
- Support Dispatch with accurate, timely information as orders approach completion
Production Communication
- Monitor production schedules and identify orders that may not meet their expected completion dates
- Gather accurate status information from Production Managers and department leads
- Communicate production delays clearly and promptly to the Sales team
- Assist with client-facing delay notifications using approved company language and accurate information
- Document communications, revised expectations, and required follow-ups
- Ensure that changes are communicated across departments so that everyone is working from the same information
- Follow up on open production issues until they are resolved
Inventory and Material Coordination
- Assist with locating, organizing, counting, and tracking materials and components
- Help coordinate materials needed for current and upcoming production
- Move materials, components, and work-in-progress safely between departments
- Deliver parts and materials to the appropriate production areas as needed
- Identify missing, damaged, mislabeled, or incorrectly located inventory
- Communicate inventory shortages and discrepancies to Production Managers and the appropriate internal teams
- Help maintain clean, clearly identified, and organized material staging areas
- Support physical inventory counts and other inventory-control activities
Production Support
- Provide day-to-day administrative and operational assistance to Production Managers
- Prepare production documents, order information, labels, lists, and other materials as requested
- Help track open items, shortages, priorities, and next actions
- Assist with coordinating urgent orders and production changes
- Follow up with internal departments to obtain missing information or materials
- Help maintain an orderly flow of work across the production floor
- Take on additional production support responsibilities as operational needs change
Qualifications
- Approximately 1 to 3 years of experience in production, manufacturing, warehousing, operations, logistics, order coordination, or a related environment
- Strong organizational skills and careful attention to detail
- Clear, professional written and verbal communication
- Ability to follow multiple orders and open items without losing track of details
- Strong follow-through and a willingness to take ownership of problems
- Comfort communicating with production employees, managers, sales representatives, and clients
- Ability to work effectively in both an office setting and an active production environment
- Basic proficiency with email, spreadsheets, and standard business software
- Experience with Wrike, NetSuite, inventory systems, or manufacturing software is helpful but not required
- Ability to safely lift and move materials and components throughout the workday
- Availability to work on-site Monday through Friday
What We Are Looking For
- Accurate, organized, and dependable
- Proactive about identifying and communicating problems
- Comfortable moving between a computer and the production floor
- Able to prioritize in a fast-moving environment
- Calm and clear when plans change
- Willing to ask questions rather than make unsupported assumptions
- Disciplined about documenting information and closing loops
- Respectful and effective with people across different departments
- Helpful, practical, and willing to contribute wherever needed
- Interested in learning how a sophisticated product moves from raw material through production and delivery
This role is not simply about passing information from one person to another. It requires understanding what needs to happen next, making sure the right people know, and following through until the work is complete.
Compensation and Benefits
- $27 to $32 per hour, based on experience
- Health, dental, and vision insurance
- 401(k) with a 4% company match
- Paid time off and company holidays
- Direct exposure to American design and manufacturing
- The opportunity to learn the complete production process behind a highly crafted product
- A team that takes craft, quality, and execution seriously
- Meaningful room to grow as Allied Maker continues to expand
To Apply
Please submit a résumé and a brief note describing your experience with production, inventory, logistics, order coordination, or another relevant operational environment.
Allied Maker is an equal opportunity employer. We welcome applicants whose experience, discipline, warmth, and point of view can contribute to the strength of our team.
