Office Services Associate
San Francisco, CA (onsite), Support multiple customer locations in downtown San Francisco and a location in San Rafael.
2+Month (Temp to Hire)
Work primarily Monday through Friday, generally 8:00 AM–5:00 PM, with flexibility for locations that may open as early as 6:00 AM, close at 7:00 PM or later, or operate on weekends.

 

  • Support daily operations, implementations, expansions, and administration of Managed Services Accounts across an assigned operational area.

  • Provide customer support at multiple external customer/client facilities and support various locations as needed for vacations, absences, training, implementations, and other business needs.

  • Support services including mail, shipping and receiving, copy/production center, reception, hospitality, and conference room setups.

  • Work independently or with team members while adapting to different customer environments, including law firms, retail corporate offices, warehouses, and other locations.

  • Responsibilities

  • Support daily operations and all contracted services at customer accounts within the assigned geographical area.

  • Assist management with process improvement, procedural testing, validation, and field compliance with operational best practices.

  • Support Field Implementation Managers with new customer account implementations and service expansions.

  • Assist with onboarding new team members and cross-training peers.

  • Assist with developing, maintaining, and sharing Site Procedure Guides and best practices.

  • Routinely inspect Site Procedure Guides for accuracy and compliance.

  • Maintain knowledge of all contracted services within assigned customer accounts.

  • Perform daily visual inspections of site services and safety compliance.

  • Provide feedback through survey tools or other methods to improve the customer experience.

  • Cover onsite resources during absences or vacations, including site management when required.

  • Provide and support all aspects of services while traveling between various customer accounts.

  • Create and maintain a customer-focused environment.

  • Support customer satisfaction by engaging with end users and collecting feedback.

  • Escalate customer issues to management and support resolution through completion.

  • Communicate effectively and respond quickly to customer and end-user communications.

  • Collect data and support the completion of Monthly Operations Reviews.

  • Maintain accurate and timely monthly expense submissions according to proper coding requirements.

  • May be required to move between locations during the same day based on business needs.

  • May be rerouted to a different location before the start of a shift.

  • Perform other duties as assigned.

  • Requirements

  • High school diploma plus 12 months of related work experience; post-high school education encouraged and preferred.

  • Customer service experience with strong oral communication and problem-solving skills.

  • Ability to work independently or as part of a team and maintain positive, productive relationships with coworkers.

  • Ability to adapt to changing situations, demonstrate flexibility, maintain high motivation, and respond with a sense of urgency.

  • Ability to take initiative, absorb training, take notes, ask questions, and follow procedures.

  • Basic math skills and sound judgment for making justifiable decisions and solving problems.

  • Ability to perform repetitive work and continuously execute different tasks according to established procedures, sequence, or pace while maintaining quality and output standards.

  • Working knowledge of account services to facilitate job scheduling.

  • Ability to understand written and verbal instructions from customers and effectively communicate them to site resources.

  • Ability to resolve customer-related issues, troubleshoot, and coordinate problem resolution.

  • Intermediate proficiency with Microsoft and common computer applications, including file/folder management and navigating network production folders.

  • Ability to report to alternate sites on any given day, which may involve walking, driving, public transportation, or other modes of transportation and may result in a longer commute.

  • Ability to work at locations within a 40–50 mile area as required.

  • May require a valid, violation-free driver's license, reliable transportation, and minimum auto insurance coverage in accordance with applicable policy.

  • No driving of customer or company vehicles is required for the temporary assignment.

  • Ability to frequently travel locally between customer locations.

  • Ability to stand and walk for extended periods and perform bending, reaching, stretching, climbing, and similar physical activities.

  • Ability to lift or move items weighing up to 50 lbs. without assistance.

  • Ability to push or pull machines on wheels weighing up to 400 lbs. for repairs.

  • Ability to walk between buildings when required.

  • Moderate dexterity, including use of calculators, keyboards, hand tools, and eye/hand coordination.

  • Close vision required.

  • Ability to work in office and warehouse environments with adequate lighting and ventilation and normal temperature and noise levels.

  • Ability to interpret, comprehend, and apply complex materials, data, and instructions and prepare, provide, and convey diversified information.

  • Working conditions may regularly expose employees to conditions that could result in minor cuts.

  • Schedule flexibility required for varying site hours, including early mornings, evenings, weekends, and other varying schedules.

  • No free parking is available in San Francisco; public transportation such as BART, Muni, and buses is commonly used.

  • Free parking is available at the San Rafael location.

  • Mileage and parking reimbursement may be available for the San Rafael location according to applicable policy.

Candidates must be able to lift 50 pounds and stand for extended periods of time.
