Project Coordinator

Location: Units 57 59 Elmsfield Park, Holme, Carnforth, Lancashire LA6 1RJ
Salary: Competitive, DOE
Contract: Full-time, permanent
Hours: 37.5 hours per week, Monday to Friday

Are you organised, proactive and commercially minded

We're looking for a Project Coordinator to support our MOSS projects and customer enquiries, helping ensure work progresses efficiently, accurately and on time.

Working closely with Project Managers, customers, suppliers and internal teams, you'll play a key role in coordinating project activities, supporting quotations, tracking costs and keeping commercial and project information up to date.

This is a varied role for someone who enjoys taking ownership, managing competing priorities and making sure the details are taken care of.

What You'll Do

• Coordinate customer enquiries and follow up quotations, maintaining accurate records and updates in Pipedrive CRM.
• Support quotation preparation, submission and opportunity follow-up.
• Provide day-to-day project, commercial and administrative support to Project Managers.
• Coordinate personnel, equipment, materials, procurement and site arrangements.
• Liaise with customers, suppliers and internal teams to manage requirements, programmes and project updates.
• Assist with project costing, cost tracking, variations and additional works.
• Process timecards and expenses, ensuring accurate allocation and timely submission.
• Reconcile labour, equipment, materials and purchases against project scopes and costs.
• Use Microsoft Business Central to maintain and review purchasing, project, costing and invoicing information.
• Monitor deadlines, outstanding actions and potential delays, escalating issues where appropriate.
• Support project close-out, ensuring final costs, timecards, expenses, invoicing scopes and documentation are complete.
• Coordinate technician training, site access and associated records.
• Maintain PPE stock and control, coordinate technician allocation, and identify any specialist or site-specific requirements.
• Act as a key point of contact between customers, Project Managers, Commercial, Finance and Technical teams.

What You'll Bring

• Previous experience in project coordination, project support, commercial administration, sales support or a similar role.
• Strong organisational skills and the ability to manage multiple projects, enquiries and deadlines.
• Good communication skills and confidence dealing with customers, suppliers and colleagues.
• An understanding of quotations, costing, procurement and commercial processes.
• Excellent attention to detail and a proactive approach to following actions through to completion.
• The ability to identify issues, prioritise effectively and take accountability for your work.
• Good IT skills and confidence maintaining accurate records.
• Experience in engineering, construction, energy, manufacturing or another technical environment would be advantageous.
• Familiarity with Pipedrive CRM, Microsoft Business Central and Microsoft 365 would also be beneficial.

Working Hours and On-Call Responsibilities

The standard working hours are 37.5 hours per week, Monday to Friday.

The role also participates in an out-of-hours on-call rota, currently operating on a one-week-in-five basis, providing seven-day cover. This involves responding to operational and client calls outside normal working hours, coordinating appropriate actions and escalating issues where necessary.

You'll also liaise with the Workshop on-call representative to coordinate urgent technical requirements, machining needs, equipment and tooling logistics.

The Person We're Looking For

You'll be proactive, organised and commercially aware, with a strong customer focus and a practical, accountable approach. You enjoy working collaboratively, communicating clearly and keeping projects moving, even when priorities change.

Ready to Make an Impact

If you're a strong coordinator who enjoys variety, takes pride in getting the details right and wants to play a key role in successful project delivery, we'd love to hear from you.
