Role Overview

To provide proactive administrative support to the Executive Assistant to the CEO and the wider London office team. Acting as a key support pillar, this role assists with day-to-day executive administration, presentation formatting, visitor reception, and smooth office operations. This is an ideal position for an organised, eager-to-learn administrator looking to build a career in executive support and workplace management within a dynamic sports and entertainment business.


Key Responsibilities

Executive & PA Support (Assisting the EA to CEO)

  • Presentation Support: Assist in drafting, formatting, and proofreading slides for company-wide Town Hall decks, team updates, and executive presentations using established brand templates.
  • Scheduling & Calendar Coordination: Assist the EA with coordinating internal/external meetings, updating calendars, and helping track upcoming leadership milestones and operational deadlines.
  • Board & VIP Hospitality Support: Support the EA in preparing for visiting Board members and C-suite guests, including coordinating meeting room setups, catering orders, and on-site greeting.
  • Travel & Expense Administration: Collate travel options, draft itineraries, and process expense claims for the wider leadership team in line with company policy.
  • Meeting Preparation: Assist with assembling, printing, and distributing board packs, meeting agendas, and taking key action notes when required.

Office Management & Facilities Support

  • Day-to-Day Workspace Upkeep: Ensure the office environment remains clean, presentable, and fully stocked throughout the day.
  • Building Liaison: Help handle day-to-day facilities requests, coordinating with building management (GPE), reception, and external suppliers under the direction of the EA.
  • Inventory Control: Monitor, order, and restock office supplies, kitchen consumables, and basic IT accessories within defined budget limits.
  • Visitor Reception: Register all incoming guests via building portals, manage the meeting room booking calendar, and provide a warm, professional welcome to all visitors.

Team Support & General Admin

  • Event Coordination: Help organise staff socials, internal team celebrations, and client hosting setups under the guidance of the EA and HR team.
  • Onboarding Support: Help welcome new joiners by setting up desks, arranging access passes, and organising starter packs.
  • Ad-Hoc Errands: Execute general team errands, local collection runs, and administrative tasks as requested by the EA or Board members.

Qualifications & Experience

  • 1–2+ years’ experience in an Office Assistant, Junior Administrator, or Team Support role (experience within sports, media, or creative sectors is a bonus).
  • Strong working knowledge of Microsoft 365 (specifically PowerPoint, Outlook, and Word).
  • Good visual eye for formatting decks, documents, and corporate presentations cleanly.
  • Highly organized, proactive attitude, and eager to learn from a senior EA.
  • Strong team player with a high level of discretion and professionalism.
