Job Description
Key Responsibilities
- Serve as a trusted administrative partner to the Legal Department, ensuring seamless day-to-day operations and proactive support for department leadership.
- Coordinate complex calendars and high-volume scheduling, managing meeting logistics, priorities, and shifting timelines with exceptional attention to detail.
- Anticipate scheduling conflicts and competing priorities, resolving issues before they impact internal or external stakeholders.
- Oversee legal billing processes, including invoice management and coordination with outside counsel.
- Lead planning and logistics for investor-related activities, including earnings calls, meeting scheduling, and presentation materials.
- Administer and maintain the company's investor relations portal and related communications.
- Coordinate travel arrangements and other logistical needs for legal team members as required.
- Prepare, edit, and proofread a variety of legal and business documents, presentations, reports, and correspondence.
- Act as a key point of contact for internal business partners, executives, Board members, and external stakeholders while maintaining the highest level of professionalism and confidentiality.
- Support Board of Directors meetings, Annual Shareholder Meetings, and other governance-related activities, including agenda preparation, materials distribution, minute-taking, and follow-up tracking.
- Maintain legal records, contract databases, and corporate governance documentation.
- Process expense reports, purchase requests, and invoices in compliance with department policies and budgets.
- Assist with cross-functional projects, special initiatives, and departmental priorities, ensuring deadlines and deliverables are effectively tracked and managed.
- Contribute to the overall efficiency of the legal function through strong organization, responsiveness, and attention to detail.
- Handle sensitive and confidential information with sound judgment, discretion, and integrity.
- Perform additional duties and projects as needed.
Qualifications & Experience
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 3+ years of executive, legal, or administrative support experience in a fast-paced corporate environment.
- Proven ability to manage complex calendars, coordinate multiple priorities, and maintain highly accurate documentation.
- Advanced proficiency with Microsoft Office Suite and Adobe Acrobat.
- Experience supporting multiple stakeholders, including executives and/or in-house legal professionals.
- Strong written and verbal communication skills.
- Ability to build relationships across all levels of an organization while maintaining professionalism and discretion.
- Demonstrated ability to work with confidential and privileged information and exercise exceptional judgment.
- Highly organized, detail-oriented, and capable of balancing multiple competing priorities.
