The National Heart Clinic is an independent cardiology clinic providing consultant led care at Harley Street and Richmond. We support patients with timely cardiovascular assessment and a professional, patient centered experience delivered by an experienced clinical team.
THE OPPORTUNITY
We are seeking a proactive, organized, and compassionate Receptionist and Office Coordinator to support our cardiac physiologists, consultants, and other clinical teams. This role combines traditional reception duties with office coordinator and administrative responsibilities, making it ideal for someone who is highly organized, adaptable and customer focused.
As the Receptionist and Office Coordinator, you will be the first point of contact for patients, visitors and healthcare professionals. You will be managing the reception, oversee appointment coordination, support clinicians and ensure the clinic operates efficiently on a daily basis.
ROLE DETAILS
• Location: Richmond, London
• Salary: £32,000 to £36,000 per annum, depending on experience
• Hours: 37.5 hours per week, full time or part time
• Working pattern: Monday to Friday, with flexibility for Saturdays as the service develops
• Contract: Permanent
WHAT YOU WILL BE DOING
Reception and Patient Experience
• Welcome patients and visitors in a professional and friendly manner
• Answer incoming telephone calls promptly and respond to email enquiries
• Manage patient bookings, appointment changes and cancellations
• Coordinate the daily appointment schedule to ensure clinics run efficiently
• Assist patients with general enquiries before, during and after their appointments
• Ensure all patients receive a first class customer experience
Administration
• Register new patients and maintain accurate patient records
• Support clinicians with administrative tasks as required
• Prepare clinic paperwork and ensure documentation is complete
• Process payments and issue receipts where required
• Liaise with laboratories, suppliers and external healthcare providers
Office and Clinic Management
• Monitor and maintain clinic stock, consumables and stationery
• Order supplies and ensure adequate stock levels are maintained
• Ensure consultation rooms and reception areas remain organised and presentable
• Coordinate deliveries and manage incoming correspondence
• Report maintenance issues and arrange repairs where necessary
• Support the management team with day to day operational tasks
ABOUT YOU
Essential criteria
• Previous experience as a receptionist, administrator or office coordinator
• Excellent customer service and communication skills
• Professional, friendly and confident telephone manner
• Strong organisational and time management skills
• Ability to multitask and prioritise effectively
• High level of accuracy and attention to detail
• Good IT skills including Microsoft Office (Word, Outlook and Excel)
• Ability to work independently and as part of a team
• Reliable, proactive and flexible approach to work
• Professional appearance and excellent interpersonal skills
Desirable criteria
• Previous experience within a private healthcare, GP practice or hospital setting
• Experience using electronic patient record or appointment booking systems (e.g. Semble or similar)
• Experience managing office supplies and stock control
• Knowledge of GDPR and patient confidentiality requirements
• Experience handling private patient enquiries
• First Aid awareness
