About the Role



As Lead Receptionist, you will play a key role in creating an exceptional first impression for every patient, visitor and consultant attending Welbeck Oxford. Leading the reception function, you will be responsible for ensuring the smooth day-to-day operation of the front-of-house service, delivering a warm, professional and seamless experience that reflects the high standards of a premium private healthcare environment. Reporting to the Business Manager, you will oversee a team of Receptionists, providing leadership, guidance and support to ensure outstanding service delivery at all times. You will coordinate reception activities, manage patient arrivals and enquiries, monitor service standards and work closely with administrative and clinical teams to ensure an efficient and welcoming patient journey. This is a new role within a new facility and offers the opportunity to help shape front-of-house processes, establish best practice and contribute to the successful growth of the centre. It is ideally suited to an experienced healthcare receptionist with supervisory experience, or an established Reception Team Leader looking to make a significant impact within an ambitious and growing organisation.



Responsibilities



  • Lead the day-to-day operation of the reception service across the centre
  • Ensure all patients, visitors and consultants receive a professional and welcoming experience
  • Supervise, support and develop a team of Receptionists
  • Act as the first point of escalation for reception-related queries, feedback and service issues
  • Coordinate reception rotas and ensure appropriate front-of-house cover at all times
  • Monitor patient flow and waiting areas to ensure an efficient and positive experience
  • Support the management of consultant, visitor and patient enquiries, both in person and by telephone
  • Maintain accurate patient records and ensure information is handled in line with GDPR requirements
  • Work closely with administration and clinical teams to support smooth operational delivery
  • Support onboarding, training and performance management activities for reception colleagues
  • Ensure compliance with organisational policies, safeguarding requirements and CQC standards
  • Contribute to service improvement initiatives and help establish best-practice reception processes
  • Provide hands-on support during busy periods and assist with broader administrative activities where required.


Qualifications



  • A Level 3 qualification (or equivalent) and evidence of continuing professional development


Required Skills



  • Experience in a reception, front-of-house or customer service environment
  • Previous supervisory or team leadership experience would be advantageous
  • Excellent communication and interpersonal skills
  • Strong organisational skills and attention to detail
  • A professional, confident and approachable manner
  • Proficiency in Microsoft Office and confidence learning new systems
  • The ability to remain calm and effective in a busy environment
  • A guest-focused mindset with a commitment to delivering exceptional service


Preferred Skills



  • Experience working within a reception or front-of-house role, ideally within private healthcare, hospitality or another customer-focused environment where delivering exceptional service is essential.
  • Understanding the importance of creating positive first impressions and ensuring every interaction is handled with professionalism, empathy and discretion.
  • Highly organised, approachable and calm under pressure, with the ability to manage competing priorities while maintaining a consistently high standard of service.
  • Communication skills that enable you to build trusted relationships with patients, consultants, visitors and colleagues alike.
  • Motivated by creating an environment where people feel welcomed, informed and supported.

Recruitment Process



For this role, there will potentially be three stages;



  • Stage 1 – Shortlisting (completed by 19th August)
  • Stage 2 – Screening Call (via Teams) 20th – 25th August
  • Stage 3 – Interview Assessment (Face to Face) From w/c 1st September
