We are recruiting a Fleet Controller to join our team Ashby. 

The Fleet Controller is responsible for the day-to-day management and administration of the company vehicle fleet, ensuring vehicles are operated safely, legally, cost-effectively, and in accordance with company policies and regulatory requirements. The role supports operational teams by managing vehicle procurement, leasing, maintenance, compliance, incidents, reporting and supplier relationships, whilst driving continuous improvement initiatives relating to fleet performance, sustainability, risk reduction and cost control.

Key Responsibilities

Fleet Administration

• Maintain accurate fleet records for all company-owned, leased and hired vehicles.
• Manage vehicle orders, deliveries, disposals, transfers, returns and short term hire requirements.
• Coordinate vehicle allocations in line with company policy.
• Maintain driver and vehicle documentation.
• Support the implementation and administration of fleet policies.

Vehicle Compliance & Governance

• Ensure fleet compliance with statutory and company requirements including MOTs, road tax, vehicle servicing, inspections, driver documentation checks and fleet policy compliance.
• Monitor compliance deadlines and coordinate corrective actions where required.
• Support FORS and other fleet accreditation requirements where applicable which will include training and leading audit requirements.

Supplier & Contract Management

• Act as the primary liaison with vehicle leasing providers, short-term hire suppliers, maintenance providers, fuel card providers, telematics providers and insurance partners.
• Monitor supplier performance and service levels.
• Resolve vehicle and supplier-related issues promptly.
• Negotiate with OEMs to gain discounts, while being aware of KC global agreements

Incident & Insurance Management

• Manage vehicle incident reporting and investigation processes.
• Liaise with insurers, repair providers and drivers.
• Monitor accident trends and support incident reduction initiatives.
• Produce regular analysis of claims, costs and corrective actions.

Fleet Reporting & Data Analysis

• Produce regular fleet performance reports and dashboards.
• Monitor and report on vehicle utilisation, fleet costs, hire vehicle spend, fuel usage, driver behaviour metrics, insurance trends and vehicle downtime.
• Identify opportunities to improve efficiency and reduce cost.
• Support budget forecasting and fleet planning activities.

Sustainability & Fleet Strategy

• Support the transition towards lower-emission and electric vehicles.
• Monitor fleet sustainability metrics.
• Assist with EV implementation projects, charging infrastructure initiatives and fleet replacement planning.
• Participate in fleet strategy development and continuous improvement programmes.
• Interface with Konecranes Global Category Manager to support global fleet goals.
• Support CO2 data collation and be the interface with health and safety for this requirement.

Driver Engagement & Support

• Provide guidance to drivers regarding fleet policies and procedures.
• Present about fleet requirements at new starter inductions.
• Assist with driver engagement initiatives aimed at improving safety and reducing fleet costs.
• Work closely with operational teams to resolve vehicle-related issues.

Knowledge, Skills & Experience

Essential

• Experience in fleet management, fleet administration, transport, procurement or vehicle operations.
• Strong analytical and reporting skills, as well as being highly organised
• Experience managing suppliers and external service providers.
• Proficient in Microsoft Excel, reporting systems and administrative skills
• Strong communication and stakeholder management skills

Desirable

• CILT, FORS, IoTA or fleet-related qualification.
• Experience with fleet management systems and telematics platforms.
• Understanding of leasing arrangements and vehicle lifecycle management.
• Experience with fleet compliance standards.
• Knowledge of electric vehicle fleet deployment.
• Professional Procurement, transport or Fleet management certification.
• Operational Excellence or Transport Management roles
