Executive Secretary to BG President

Main Responsibilities:

  • Schedule Management: Based on strong business acumen and understanding of executive and business needs, efficiently coordinate the President’s schedule. Optimize time management to protect core working hours and ensure focus on primary business priorities.

  • Information Management: Accurately and comprehensively grasp diverse information; identify key points and potential risks. Conduct effective filtering and pre-processing of approvals to assist the President in efficient decision-making. Track, retrospect, and summarize information processing to ensure closed-loop management and professional data archiving.

  • Relationship Maintenance: Familiarize with personnel relationships and responsibilities within the business scope. Monitor client and industry dynamics to identify, establish, and maintain internal and external professional relationships while adhering to company policies and business etiquette.

  • Key Business Promotion: Understand the President’s priorities and departmental operations. Use appropriate methods to coordinate resources effectively, driving responsible parties to implement plans and ensuring the timely closure of tasks.

  • Meeting Organization: Facilitate and organize key meetings based on business requirements. Produce high-quality meeting minutes, track the implementation of resolutions and pending issues, and effectively ensure that meeting objectives are met.

  • Document Management: Draft and write business correspondence as required. Master the company’s management framework and filing systems to manage the end-to-end documentation process, ensuring compliance and monitoring the effectiveness of document implementation.

  • Organizational Atmosphere: Act as the "organizational glue" to assist the President in creating a positive, professional, and healthy working environment and culture.

Requirements:

  • Knowledge: Proficiency in Human Resources, planning management, quality management, and communication management methodologies. Familiarity with local German labor laws, regulations, and business management rules.

  • Professional Skills: Expert use of office software, tools, and dashboards. Mastery of basic data analysis methods. Understanding of corporate processes and basic product knowledge relevant to the business scenarios.

  • Language & Communication: Exceptional communication skills. Fluent in Chinese and German (listening, speaking, reading, and writing) as primary working languages.

  • Attributes: Strong sense of process compliance and service orientation. Patient, detail-oriented, quick learner, and highly responsible.

  • Competency: Proven ability to efficiently support organizational operations, enhance executive productivity, lead large-to-medium-scale projects for high-quality delivery, and serve as a benchmark for excellence in the secretarial field.
