Job Description

Position Summary: We are seeking a Procurement Specialist to support the acquisition and lifecycle management of enterprise software, cloud services, and technology-related purchases. This role is responsible for coordinating software procurement activities from initial request through sourcing, contracting, purchasing, licensing, and delivery while ensuring compliance with procurement policies and software licensing requirements.

The ideal candidate will have experience managing technology procurement, vendor relationships, contract administration, and Procure-to-Pay (P2P) processes. Experience with Coupa Procure-to-Pay (P2P) is highly preferred.

Key Responsibilities

  • Coordinate the procurement of enterprise software, SaaS, cloud services, and other technology-related purchases.
  • Manage the complete procurement lifecycle, including quotations, purchase requisitions, approvals, purchase orders, contracts, licensing, and software delivery.
  • Partner with Legal to negotiate and manage:
    • Master Service Agreements (MSAs)
    • Statements of Work (SOWs)
    • Service Level Agreements (SLAs)
    • Software license agreements
    • Contract renewals
  • Track contract milestones, renewal dates, and vendor agreements using Coupa Contract Management.
  • Maintain accurate records of procurement activities, contracts, subscriptions, maintenance agreements, and software licenses.
  • Monitor software usage and licensing compliance, perform license audits, and support vendor compliance reviews.
  • Manage software subscription renewals to ensure uninterrupted business operations.
  • Drive cost savings through vendor negotiations, supplier consolidation, strategic sourcing, and value engineering.
  • Resolve procurement, billing, invoicing, and delivery issues with vendors.
  • Evaluate supplier performance and monitor compliance with contractual Service Level Agreements (SLAs).
  • Support continuous improvement initiatives by identifying opportunities to streamline procurement processes.
  • Facilitate end-to-end Procure-to-Pay (P2P) activities using Coupa, including supplier onboarding, sourcing events, purchase orders, approvals, and invoice reconciliation.
  • Collaborate with cross-functional teams to ensure timely procurement and contract compliance.

Required Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, Information Technology, or a related field.
  • Minimum 2 years of experience in technology procurement, IT purchasing, sourcing, or procurement operations.
  • Experience managing software procurement, software licensing, and vendor contracts.
  • Experience working with Procure-to-Pay (P2P) systems.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint).
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong communication and stakeholder management skills.

Preferred Qualifications

  • Experience with Coupa Procure-to-Pay (P2P) and Coupa Contract Management.
  • Experience with software asset management and license compliance.
  • Knowledge of SaaS, cloud licensing, and enterprise software procurement.
  • Experience improving procurement processes and driving operational efficiencies.
  • Strong negotiation and vendor management skills.
