Job description

At QIC Real Estate, we don’t just manage property

We create places where retails, customers and communities come together.

We’re looking for a commercially minded Lease Administrator to play a key role in our retail leasing team. This is far more than an administrative position. You’ll be right in the middle of specialty leasing retail transactions, negotiating documentation, solving problems and bringing together multiple stakeholders to get deals across the line.

If you enjoy negotiation, thrive on complexity and are motivated to investigate issues and find practical solutions, this could be a great next move.

About the Role

Each retail leasing transaction brings its own complexities, requiring careful negotiation, commercial judgement and proactive stakeholder management.

  • You’ll take ownership of lease matters from initial agreement through negotiation, documentation, approval and execution. With long leasing cycles, multiple milestones and plenty of moving parts, you’ll be the person keeping deals moving forward.

  • You’ll work closely with Leasing Executives, Centre Managers, Legal, Investment Management, Retail Design and Delivery teams, external lawyers and retailers.

  • Your role will include:

  • Reviewing and negotiating retail lease documentation

  • Assessing agreed deals and ensuring documentation reflects the commercial position

  • Working through amendments, special conditions and landlord approvals

  • Identifying issues early and finding practical ways to resolve them

  • Managing multiple transactions, milestones and deadlines at once

  • Coordinating with Centre Management and other teams to help get tenants into sites and trading

  • Keeping stakeholders informed and maintaining momentum when pressure is high

  • You’ll need to balance the detail of the documentation with the bigger commercial picture. It’s about understanding the deal, knowing what matters and recognising when something doesn’t quite stack up.

About You

  • You’re commercially curious, proactive and naturally investigative.

  • You don’t just process a document. You want to understand the deal behind it, what has been agreed, what could cause a problem and what needs to happen next.

  • You’re comfortable negotiating, asking questions and working with stakeholders who may have different priorities. And when the pressure is on to get a deal completed or a tenant trading, you stay organised, calm and focused on the outcome.

  • Most importantly, you have exceptional attention to detail without losing sight of the bigger picture.

Essential to Success

  • Experience with retail lease documentation, negotiation or commercial contracts

  • Knowledge of retail leasing principles and relevant retail legislation

  • Strong commercial judgement and an understanding of how property deals come together

  • Excellent negotiation and influencing skills

  • Exceptional attention to detail and document drafting/review capability

  • Ability to manage high volumes of work, competing priorities and long transaction cycles

  • Confidence working with multiple stakeholders including leasing teams, Centre Management, lawyers, designers and retailers

  • A proactive mindset with the ability to uncover issues and drive solutions

  • Strong communication and relationship-building skills

  • The ability to perform well in a fast-paced, high-pressure environment

Desirable

  • We’d particularly love to hear from people with:

  • Retail shopping centre retail lease experience

  • Experience with an institutional landlord, major property owner or specialist retailer

  • Property or retail paralegal experience

  • Exposure to negotiating leases or other property agreements

  • Experience working across complex property transactions involving multiple internal and external stakeholders

  • Experience with organisations such as an institutional property owner could provide a strong foundation for the role, but we’re equally interested in people who have developed relevant experience from the retailer, legal or tenant-representation side.

Why QIC?

This is an opportunity to build your career inside an institutional real estate environment while gaining exposure to complex retail leasing transactions and a broad group of experienced property professionals.

You’ll be close to the deals, close to the assets and close to the people making the commercial decisions.

If you’re a natural problem-solver who loves property, negotiation and getting deals done, we’d love to hear from you.

Agency note

QIC is managing this recruitment process directly and is not engaging recruitment agencies for this opportunity. We kindly ask that agencies do not submit candidate profiles or contact hiring managers directly. All interested candidates should apply through the advertised QIC recruitment process.
