Butterfly Foundation is Australia's national charity for anyone in Australia impacted by eating disorders and body image issues, as well as the families, friends and communities who support them. Eating disorders are severe and complex mental illnesses with physical complications, and the medical, psychological, physical and social consequences can be long term and for many, life threatening.

About the Role

The IT Governance & Operations Manager is responsible for the governance, compliance, vendor management, and operational IT function across Butterfly Foundation and Wandi Nerida. This role ensures that IT infrastructure, systems, and processes operate securely, meet regulatory requirements, and align with organisational policy. The IT Governance & Operations Manager acts as the primary liaison with the managed service provider and other vendors, manages the IT budget, and engages with executive and senior stakeholders to ensure IT operations support organisational strategy and BAU stability.

Key responsibilities and duties include:
  • Manage the relationship with the managed service provider and other third-party vendors, ensuring contractual obligations, service levels, and performance standards are met.
  • Oversee IT governance frameworks including the Third Party Risk Assessment Framework and Privacy Impact Assessment process, ensuring compliance with relevant legislation and regulations including the Privacy Act 1988 and Australian Privacy Principles.
  • Monitor regulatory changes, cybersecurity threats, and industry developments, providing recommendations to the CFO to inform IT strategy and risk management.
  • Maintain and test disaster recovery, business continuity, and incident response plans.
  • Oversee cybersecurity protocols, staff awareness training, and compliance with security standards; coordinate the annual cybersecurity assessment.
Information & Data Governance
  • Develop and maintain the organisation's information management and data governance frameworks, including data quality standards, data ownership, classification, retention policies, storage governance, and the transition from on-premise to cloud-based file management.
IT Operations
  • Oversee operational IT requirements across the organisation, including hardware lifecycle management, asset registers, helpdesk escalation, and infrastructure planning.
Budget, Reporting & Leadership
  • Manage the IT budget and provide regular reporting to the CFO on IT operations, vendor performance, governance and compliance activities, and financial performance.
  • Lead task assignment and people management for the Data & Insights Analyst and Data Administrator, including prioritisation, performance, development, and wellbeing.
  • Minimum 5-7 years experience in IT governance, operations, or a related field, with demonstrated experience in a senior or management capacity.
  • Strong understanding of cybersecurity principles, risk management, and data protection requirements including the Australian Privacy Principles.
  • Experience managing third-party vendors and managed service providers, including SLA oversight and contract management.
  • Demonstrated experience developing and implementing governance frameworks, including information management and data governance.
  • Practical experience with Microsoft 365, particularly SharePoint, in the context of information management, governance, and organisational adoption.
  • Experience maintaining and testing disaster recovery, business continuity, and incident response plans.
  • Strong interpersonal and communication skills, with the ability to engage effectively across technical and non-technical stakeholders.
  • Experience in people management, including performance and development.
  • Ability to operate effectively in a complex environment with limited resources.
