Job Description

Position Summary

PRX is seeking an organized, detail-oriented, and mission-driven Coordinator to support the Development department and Board of Directors. Reporting to and working closely with the CEO and EVP, Development, this role provides essential database and administrative support to meet annual fundraising goals. The Coordinator also serves as the primary point of coordination for Board of Directors meetings, communications, and governance records, ensuring a positive and well-supported board member experience.

Definition of Success

  • Provides reliable administrative support: Demonstrates exceptional organizational skills and attention to detail, ensuring donor records, gift processing, and board documentation are consistently accurate and up to date.
  • Supports fundraising operations effectively: Understands the development cycle and contributes to activities that advance annual revenue goals.
  • Facilitates an excellent board experience: Acts as a trusted coordinator for board logistics, communications, and governance compliance—enabling board members and leadership to focus on strategic work.
  • Communicates with professionalism and care: Maintains confidentiality, fosters respectful relationships with board members, donors, and colleagues, and represents PRX with integrity.
  • Adapts and grows: Demonstrates flexibility, a willingness to learn new systems, and a proactive approach to solving challenges in a dynamic public media environment.

Responsibilities

Development

  • Support drafting of donor proposals and reports.
  • Prepare and distribute gift acknowledgement letters.
  • Update donor records, including gift information, contact information changes, and event attendance.
  • Process Boston mail and prepare checks received for deposit.
  • Coordinate small-scale mailings and other donor correspondence.
  • Respond to general phone and email inquiries.
  • Other duties as assigned

Board of Directors

  • Collaborate with the CEO and EVP, Development to establish systems that ensure efficient board administration and a positive board member experience.
  • Act as the primary point of contact for board member informational inquiries.
  • Arrange meetings and serve as event coordinator for all board-related meeting needs; attend board meetings to provide support and take minutes.
  • Coordinate with senior leadership to produce the agenda and board book for each meeting.
  • Understand and implement board and director records required for compliance with bylaws and applicable regulations, in consultation with the CEO.
  • Coordinate and maintain the central official repository of board records (Boardable, Salesforce), including all documentation required for compliance and governance.
  • Facilitate communication and information sharing for invitees to board meetings and presentations.
  • Maintain confidentiality of all board matters and cultivate respectful board relationships.

Executive Office Support

  • Serve as point of contact for coordination of external meetings for CEO and EVP, Development
  • Help support the day-to-day operations of the Boston office, including coordinating office supplies, mail, shipping, and deliveries.
  • Serve as a point of contact for routine office needs and coordinate with building management, cleaning services, and other vendors as needed.
  • Help maintain shared office spaces, conference rooms, and basic office and kitchen supplies.
  • Provide logistical support for Boston-based meetings, staff gatherings, and visitors.

Skills & Knowledge

  • Excellent verbal and written communication skills with strong interpersonal abilities.
  • Ability to manage multiple high-priority projects with multiple stakeholders simultaneously.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong computer skills, including Microsoft Office, Google Drive, and database management.
  • Experience with customer relationship management (CRM) software.
  • Ability to work both collaboratively and independently in an open office environment.
  • Demonstrated ability to learn and operate multiple new systems and software.
  • Experience with Boardable or similar board management platforms is a plus.

Education & Experience

  • High school degree or GED required; associate's or bachelor's degree preferred.
  • Prior experience in nonprofit development, administrative support, or board coordination preferred.
  • Familiarity with public media or mission-driven organizations is a plus.
