Job Description

Office Administrator

Introduction

We are looking for Office Administration consultants onsite at our office location in Jacksonville, FL. The Office Administrator will play a crucial role in supporting daily administrative operations and ensuring the smooth functioning of the office.

Responsibilities

  • Answer, screen, and direct incoming phone calls and emails
  • Greet visitors and clients, providing a professional front-desk presence
  • Sort, distribute, and process incoming and outgoing mail/packages
  • Maintain and organize physical and digital filing systems
  • Enter, update, and verify data in company databases/spreadsheets
  • Prepare, format, and proofread correspondence, memos, and reports
  • Schedule appointments, meetings, and manage calendars
  • Order and maintain office supplies and equipment inventory
  • Assist with basic bookkeeping tasks (invoices, expense tracking, purchase orders)
  • Photocopy, scan, and file documents as needed
  • Support HR/administrative staff with onboarding paperwork
  • Ensure office equipment (printers, copiers, fax) is functioning; coordinate repairs
  • Maintain confidentiality of sensitive company and client information
  • Perform other administrative duties as assigned

Requirements

  • High school diploma or equivalent (Associate's degree a plus)
  • 1+ years of office/clerical experience preferred
  • Proficiency in MS Office Suite (Word, Excel, Outlook)
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to multitask and prioritize workload
