The Role

As our Office Administrator, you will be the backbone of our administrative operations. You will ensure our office environment remains professional, organised, and welcoming, while coordinating critical workflows including travel arrangements, site access compliance, training matrices, and procurement support.

Key Responsibilities
  • Maintain a clean, professional, and well-stocked office environment; greet visitors, answer phone calls/emails, and manage incoming and outgoing mail.
  • Manage pre-employment medicals, PPE allocations, contractor portal uploads, and site-specific inductions to ensure staff meet all compliance requirements before entering client sites.
  • Maintain up-to-date employee training records, track course refreshers, and ensure client management portals are accurate.
  • Obtain quotes, issue purchase orders (MYOB), manage the Purchase Order Register, and ensure project deliverables arrive on time.
  • Manage travel arrangements (flights, accommodation, hire vehicles) and plan company meetings and events.
  • Track company vehicle allocations, complete FBT report logbook updates, and assist with bi-annual Labour Hire reporting.
  • Assist management with calendar scheduling, document formatting, filing, and basic financial administration.
What We're Looking For
  • Experience: 2+ years of experience in an office administration or related role. Basic understanding of bookkeeping or financial processes (e.g., MYOB) is desirable.
  • High proficiency with Microsoft Office Suite software.
  • Exceptional ability to prioritize, multitask, and manage time effectively.
  • Excellent precision when handling compliance documents, project records, and reports.
  • Strong written and verbal communication skills with a friendly, customer-focused approach.
  • Ability to work independently with minimal supervision while collaborating effectively within a team.
