The Office Manager, Workplace Experience is responsible for creating a welcoming, engaging and well-run workplace where our people can do their best work and build meaningful connections.

You’ll take ownership of the day-to-day office experience, overseeing operations and facilities, managing our part-time Office Coordinator, bringing events and workplace initiatives to life, and partnering with teams across OpenTable to continuously improve how our people experience the office.

This is a hands-on role for someone with a strong hospitality mindset who enjoys solving problems, building relationships and making things happen.

Hospitality extends to everyone, including the dogs: We’re a dog-friendly office, so you’ll need to be confident around dogs and happy to occasionally step in with treats, feeding, cuddles or entertainment while their owners are otherwise occupied. Excellent hospitality, regardless of species. 🐶

Location: This role is based on-site at our London office five days per week, with occasional early mornings or evenings required to support events and workplace activities. 

In this role, you will:

  • Own the day-to-day workplace experience, ensuring the office is welcoming, organised, safe and running smoothly for employees and visitors, while managing and supporting our part-time Office Coordinator.
  • Manage office operations, facilities and vendors, including supplier relationships, catering, office supplies, mail and shipping, repairs, furniture and the general upkeep and functionality of the workplace.
  • Plan and deliver engaging office events and experiences, from local community activities and company outings to All Hands and offsites, partnering with Events, IT and other teams to coordinate logistics and bring initiatives to life.
  • Partner across the business with Workplace, Real Estate, IT, P&C and local leadership to support new hires and leavers, workplace projects, office moves and refurbishments, and wider company programmes.
  • Own local workplace safety and preparedness, supporting physical security and safety procedures, first aid processes and documentation, responding appropriately to urgent issues, and acting as a Floor Warden during drills and emergencies.
  • Drive continuous improvement across the workplace, proactively identifying opportunities to improve the office environment, employee experience, operational standards and ways of working.
  • Keep our workplace community connected and informed, maintaining office resources including calendars and Wiki pages, supporting monthly house meetings, collaborating with our global Workplace team and providing ad hoc support to local leadership and co-located offices.

About you

  • 2–3+ years of experience in workplace experience, office management, workplace operations or a similar role within a corporate environment.
  • Strong organisational and time-management skills, with excellent attention to detail and the ability to manage multiple priorities independently.
  • A genuine hospitality mindset with a professional, approachable and service-focused way of working.
  • Strong written and verbal communication skills, with confidence building relationships and collaborating across teams and levels.
  • Proactive and solutions-focused, with the ability to anticipate needs, think on your feet and adapt when priorities change.
  • Comfortable taking ownership while also being a collaborative teammate who is happy to get hands-on when needed.
  • Able to demonstrate professionalism and discretion when dealing with sensitive or confidential situations.
  • Comfortable using workplace technology, including Slack, Google Workspace and Mac or Windows operating systems.
  • Able to safely lift and move items weighing up to 40 lbs / 18 kg when required.

Nice to have

  • Experience supporting office moves, refurbishments or build-outs.
  • Experience implementing workplace programmes or initiatives.
  • Facilities management experience.
