Job Description

We are seeking a detail-oriented and reliable Accounting Assistant to join our clients team. This position is ideal for someone with accounting experience who is looking to expand their skills while learning the responsibilities of our Office Manager. As a key member of our small team, you will provide accounting support, maintain accurate records, assist with payroll and sales tax reporting, and help keep daily office operations running smoothly.

Key Responsibilities

Accounts Payable & Vendor Management

  • Process vendor invoices and payments accurately and on time.
  • Review and audit invoices for accuracy.
  • Maintain expense records and vendor account documentation.
  • Coordinate purchase order tracking with technicians and vendors.

Accounts Receivable & Billing

  • Process customer payments and deposits.
  • Manage customer invoicing and collections.
  • Track vendor rebates and account activity.
  • Maintain accurate customer payment records.

Accounting & Recordkeeping

  • Maintain employee records, charge accounts, and timesheets.
  • Assist with payroll processing.
  • Prepare and maintain accounting records and spreadsheets.
  • Monitor performance trends and departmental reporting.
  • Assist with Oklahoma Sales Tax reporting.

Administrative Support

  • Answer phones and assist customers professionally.
  • Prepare correspondence, file documents, and maintain organized records.
  • Support Quality Control and Operations departments with administrative tasks.
  • Help maintain an efficient and organized office environment.

Qualifications Required

  • Minimum 3 years of accounting experience.
  • Minimum 1 year of customer service experience.
  • Strong understanding of:
    • Debits and credits
    • Double-entry bookkeeping
    • Journal entries
    • General ledger accounting
  • Excellent attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong communication and organizational skills.
  • Ability to work full-time, in person.

Qualifications Preferred:

  • Experience with Oklahoma Sales Tax reporting.
  • Payroll processing experience.
  • Experience working in a distribution or warehouse office environment.
  • Associate degree in Accounting, Business, or related field (equivalent experience will also be considered).

This is a temp to hire position and will come with full benefits after perm status.
