Summary:

Minerva Virtual Academy (MVA) is the UK’s fastest-growing online school, delivering transformative education to students aged 11–18 across the UK and globally. Recognised by OFSTED and trusted by families, schools and education stakeholders, MVA is leading the way in innovation and accessibility in online learning.

MVA Hybrid is the partnerships arm of MVA. We work with UK independent and international schools, school groups and sports governing bodies to give the young people in their care the best possible education, with Hybrid Faculty teaching students remotely in a wide range of settings. Our portfolio of partnerships is growing quickly, and so is the operational work behind it.

We are seeking an organised, multi-skilled Hybrid Operations Lead to keep things running smoothly as we continue to grow, and to develop efficiencies. You will manage the systems, calendars and communications that partners, teachers and students rely on, and you will be confident joining calls with partners to nurture relationships and solve problems as they arise.

Work Environment:

MVA offers a dynamic, rewarding and exciting work environment, in many ways distinct from other schools or educational settings. This role is a remarkable opportunity to join a remote team that is passionate about leading change in education, while working closely with partner schools and colleagues in person in London.

Key Responsibilities:

Operations and systems

  • Administer the new MVA Partner Portal, keeping partner, student and course information accurate and up to date; use the data to produce high-level reports and key action points; work with the MVA Tech team to develop and improve the Portal.

  • Set up and manage student records and workflows in iSAMS, Canvas and Big Blue Button, including onboarding of new students and staff in liaison with the wider Operations team.

  • Own the Hybrid calendar, including term dates, lessons, reporting deadlines and assessment windows across all partnerships.

  • Coordinate exam preparation administration with the MVA Exams team, partner contacts and students.

  • Track attendance and progress reporting, following up with teachers and raising concerns with the Head of Hybrid; introduce new automations to facilitate this.

  • Maintain accurate records of teacher/student pairings within the Hybrid Faculty and seconded from MVA Tutors, ensuring time-recording systems and HR teams are fully informed.

  • Foster relationships with key HQ staff in other teams to maintain an up-to-date working understanding of MVA systems, processes and developments.

  • Assist in the preparation and administration of materials for teacher interviews and appraisals/reviews.

Communication

  • Act as a key point of contact for partner schools and teachers working in Hybrid partnerships, providing timely and effective help by email and phone.

  • Join calls with existing partners to resolve issues, escalating complex cases as appropriate.

  • Manage Hybrid communications through email and iSAMS, and between Hybrid and the wider MVA team (Exams, Operations, SEND, Tech).

  • Coordinate with the Head of Hybrid to create and distribute regular Hybrid Bulletins.

  • Maintain clear records of interactions, decisions and resolutions.

Compliance and improvement

  • Support Hybrid compliance work, including keeping the Hybrid appendices in MVA policies current and accurate.

  • Identify ways to improve efficiency and the partner experience, with the Head of Hybrid.

Hubs and wider support

  • Support MVA Hub projects as they develop, potentially working on site as a second member of staff alongside the Hub Lead, if logistically appropriate.

  • Support the wider MVA Operations team, if manageable, during school holidays.

  • Support teachers in the creation of course content in Canvas, where needed, including uploading materials and checking quality.

  • Keep Hybrid operations running smoothly when the Head of Hybrid is on annual leave.

Experience & Skills:

Essential

  • Proven experience in an operations, administration or customer service role.

  • Exceptional written and verbal communication, with the confidence to speak with partner schools and resolve problems on a call.

  • Strong organisational skills, a keen eye for detail and the ability to manage several priorities at once.

  • Confidence learning and using a range of systems, such as a CRM or MIS, an LMS and Google Workspace.

  • A proactive, analytical approach: able to follow instructions precisely and to use initiative.

  • Availability for a regular schedule of in-person days in London.

  • Passion for education and a commitment to MVA’s mission and values.

Desirable

  • Experience in a school, online or hybrid education setting.

  • Familiarity with iSAMS, Canvas or Big Blue Button.

  • An understanding of GCSEs, A Levels, BTECs and Functional Skills, and of exam administration.

  • Experience supporting safeguarding or SEND processes.

Benefits:

  • Competitive salary and benefits package.

  • Remote working, with regular time in person with colleagues and partners in London.

  • Training in MVA systems, learning platforms and educational technology.

  • A dynamic and supportive work environment.

  • Opportunities for professional development and growth within a pioneering part of MVA.

How to Apply:

If you are passionate about making a difference in education and meet the above criteria, we would love to hear from you. Please submit your CV and a cover letter outlining how you are the right fit for this role.
