Adoreal partners with a select group of top-tier aesthetic and cosmetic medicine practices, providing the technology, operational support, and talent that help them deliver an exceptional patient experience while they scale. We are recruiting on behalf of one of our partner practices, a high-end, luxury plastic surgery practice based in Naples, FL.

About the Role

This is a front-of-house role that blends the warmth and precision of a luxury guest experience with the structure of a medical practice. You will be the first face patients see and the steady hand guiding them through their journey, from their very first phone call or consultation through post-procedure follow-up. This role suits someone who is equally comfortable running a polished front desk and building genuine, trusted relationships with patients during a meaningful and often personal experience.

Key Responsibilities

Front Desk & Reception

  • Warmly greet and check in patients and guests, setting the tone for a luxury, white-glove experience from the moment they arrive.
  • Manage a multi-line phone system, answer patient inquiries, and route calls appropriately.
  • Schedule, confirm, and manage appointments across providers, treatments, and procedures.
  • Maintain a polished, organized, and welcoming front-office environment at all times.
  • Process check-in/check-out, collect payments, and manage patient intake paperwork and consent forms.
  • Maintain accurate patient records within Adoreal’s EHR system.

Patient Coordination

  • Guide patients through pre- and post-procedure instructions, answering questions and easing any concerns with warmth and confidence.
  • Coordinate closely with physicians, aestheticians, and clinical staff to ensure a seamless patient experience.
  • Proactively follow up with patients to confirm appointments, check on recovery, and support retention and satisfaction.
  • Help patients navigate financing, scheduling, and logistics tied to their treatment plans.
  • Uphold the discretion, privacy, and elevated service standards expected in a luxury medical practice.

  • Must live locally in or near Naples, FL — this is an on-site role.
  • Polished, presentable, and professional in appearance and demeanor at all times.
  • Highly organized, detail-oriented, and diligent — comfortable managing multiple patients, schedules, and priorities at once.
  • A proactive self-starter who anticipates needs rather than waiting to be told.
  • Genuinely comfortable working in a medical/clinical environment and interacting closely with patients.
  • Excellent written and verbal communication skills, with a warm, client-service orientation.

Background (highly preferred)

  • Prior experience in aesthetics, cosmetics, dermatology, plastic surgery, or another medical/clinical setting.
  • Alternatively, experience in high-end luxury hospitality — five-star hotels, resorts, or luxury spas — with a strong service pedigree.
