Job Description

My client is a global Macro hedge fund who is looking to hire a Facilities Coordinator. This role is 5 days a week in the office and will require 1-2 years experience in related positions such as maintenance, office services, mail room, event planning, or another related field. The role is based in SW1.

Responsibilities will include but not limited to:

➢ Deals with all issues with the office, and responsible for working with the building management team.

➢ Reporting office progress to senior management and working with them to improve office operations and procedures

➢ Execute and Deliver on all Mail Services maintaining confidentiality as required

➢ Coordinating building security and maintenance services

➢ Assisting in facilities planning and space allocation

➢ Performing routine maintenance on facilities and making repairs as needed

➢ Execute on all Moves, Adds, or Changes within the firms London Office

➢ Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order

➢ Ensure Pantry’s are fully stocked and well maintained

➢ Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required

➢Assist receptionists as needed with greeting guests, entering guests in security system, cleaning and setting up conference rooms

➢ Support the planning, coordination and execution of London office events, including employee, client and firm sponsored activities.

➢ Support event logistics, including venues, catering, vendors, transportation, equipment, room set-up and other event-related requirements.

➢ Partner with internal stakeholders and external vendors to ensure events are well organized, professional and executed to a high standard.

➢ Provide on-site support before, during and after events, including set-up, guest coordination and breakdown.
