POSITION SUMMARY
The HR Generalist supports the full employee lifecycle across Spire Healthcare Management’s corporate and branch operations. Reporting to the Director of Human Resources, this role handles day-to-day HR operations — recruiting, onboarding, employee relations, benefits and leave administration, and HRIS data integrity — while maintaining the personnel compliance standards required of an accredited DMEPOS supplier. The ideal candidate is detail-oriented, comfortable working with branch managers and field staff, and understands that in a regulated healthcare environment, complete and audit-ready personnel records are not optional.
ESSENTIAL DUTIES & RESPONSIBILITIES
Recruiting & Onboarding
- Coordinate pre-employment requirements, including background checks, drug screening, reference checks, motor vehicle record (MVR) reviews for driving positions, and license or certification verification where applicable.
- Conduct new-hire onboarding and orientation, ensuring Form I-9, tax forms, policy acknowledgments, and required trainings are completed on time.
- Maintain complete, audit-ready personnel files that meet ACHC/CHAP accreditation standards and CMS DMEPOS supplier standards.
- Conduct and document initial and monthly exclusion screening (OIG LEIE, SAM.gov, and applicable state Medicaid exclusion lists) for all employees.
- Track expiring licenses, certifications, driver’s licenses, and required annual trainings (e.g., HIPAA, OSHA, infection control, compliance/fraud-waste-abuse) and follow up with employees and managers before lapse.
- Support competency documentation and annual performance evaluation tracking for clinical and field personnel.
- Assist with internal personnel file audits and prepare HR documentation for accreditation surveys and payer audits.
- Serve as a first point of contact for employee questions regarding policies, procedures, pay, and benefits.
- Assist with investigations of workplace concerns, document findings, and support corrective action processes in partnership with the Director of Human Resources.
- Coach branch managers on consistent application of policies, attendance standards, and documentation practices.
- Administer benefits enrollment, life-event changes, and open enrollment; respond to employee benefit inquiries.
- Coordinate FMLA, state leave, and ADA accommodation processes, including interactive-process documentation.
- Manage workers’ compensation claims and return-to-work coordination.
- Maintain accurate employee data in the HRIS (Eddy), including new hires, job changes, terminations, and compensation updates.
- Support payroll processing by reviewing timekeeping exceptions, PTO balances, and pay changes prior to each pay cycle.
- Coordinate employee training programs and track completion.
- Support offboarding, including exit interviews, final pay coordination, equipment and badge return, and system access removal.
- Perform other duties as assigned.
Required
- 2–4 years of progressive HR generalist or HR coordinator experience.
- Working knowledge of federal and state employment laws, including FLSA, FMLA, ADA, Title VII, and I-9/E-Verify requirements.
- Experience maintaining confidential personnel records and handling sensitive employee matters with discretion.
- Proficiency with HRIS platforms and Microsoft Office (Word, Excel, Outlook).
- Strong attention to detail and follow-through; able to manage recurring compliance deadlines without reminders.
- Clear, professional written and verbal communication with employees at every level.
- Sound judgment and the ability to maintain strict confidentiality.
- Ability to prioritize competing requests from multiple branches and departments.
- Comfort with data entry, spreadsheets, and basic reporting.
