Flood Medics is Hiring a General Office Assistant!

Location: Charlotte, NC
Work Location: In-Person
Schedule: Monday - Friday 9am - 5pm (some Saturdays on rotation)
Pay Rate: $18.00 - $24.00 per hour
Employment Type: Full-Time

Overview

Flood Medics is seeking a reliable and customer-focused General Office Assistant to join our team in Charlotte, NC. As the first point of contact for customers experiencing water damage emergencies, you'll play a critical role in delivering exceptional service while helping coordinate restoration efforts.

This position is ideal for someone who thrives in a fast-paced environment, enjoys helping people during stressful situations, and excels at multitasking. You'll support daily office operations, coordinate technician schedules, communicate with customers, and help keep our restoration projects running smoothly.

Schedule

  • Weekdays: Approximately 9:00 AM – 5:00 PM EST
  • Saturdays (On-Rotation): Approximately 8:00 AM – 4:00 PM EST

Responsibilities

Customer Service & Communication

  • Answer incoming calls professionally, including emergency service requests.
  • Gather information regarding water damage incidents and provide reassurance to customers.
  • Follow up with customers via phone, email, and text regarding job status and scheduling.
  • Serve as a primary point of contact for customers, insurance representatives, and vendors.

Scheduling & Coordination

  • Coordinate mitigation crews, technicians, and restoration appointments.
  • Manage scheduling to ensure efficient response times and resource utilization.
  • Maintain job logs and scheduling records accurately.

Administrative Support

  • Perform data entry, filing, scanning, and document management.
  • Prepare job packets and assist with office documentation.
  • Handle incoming and outgoing mail, emails, and correspondence.
  • Maintain office organization and support team members as needed.
  • High School Diploma or GED.
  • Minimum 1–2 years of office, administrative, or customer service experience.
  • Excellent phone etiquette and verbal communication skills.
  • Strong customer service and problem-solving abilities.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office (Excel, Outlook).
  • General computer proficiency.
  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Ability to remain calm, empathetic, and professional during emergency situations.

Nice to Have

  • Experience in restoration, construction, HVAC, plumbing, or other service-based industries.
  • Experience with scheduling software or CRM systems.
  • Experience with collections activities and payment follow-up.
  • Familiarity with insurance-related documentation or inquiries.
  • Basic understanding of water damage mitigation or restoration processes.
