Job Description

We create stunning visual effects for film and episodic projects. The way we work shapes the work we make.

What’s different about Outpost?

We believe in making people matter at Outpost. We want to build a creative environment where everyone feels valued, treated with respect and able to make a positive difference every day. We’re ambitious and growing quickly but our focus remains on nurturing personal connections, supporting one another as well as making time to celebrate our collective successes. We’re always on the lookout for how we can do things better to enhance the experience of our team, our clients and the world around us.

What's in it for you?

At Outpost you have the chance to make a valuable contribution within a highly creative and supportive environment. Using your skills to be part of our journey, developing the positive culture that we want to spread throughout the VFX community as we continue to grow.

You’ll also be working alongside the incredibly talented, friendly, and genuine individuals that make up Outpost!

This is a varied support role for someone who enjoys being the dependable person who makes sure things are done properly. Much of the work involves maintaining records, processing information, checking data and following established processes, alongside helping employees with everyday queries.

This role will be based in India, working closely with our UK-based HR and Finance teams. You’ll need to be comfortable working UK business hours, which will mean adjusting your working day in India to maintain regular contact with colleagues in the UK.

While the role sits within HR, previous HR experience isn't essential. What matters most is your ability to work accurately with data, your confidence using Excel and spreadsheets, and your commitment to getting the details right.

You'll be someone who takes pride in doing a job well, enjoys keeping things in order and can be trusted to manage important information and follow tasks through to completion. You'll need to be comfortable handling routine administrative work, working to deadlines and balancing a range of responsibilities without losing sight of the detail.

What you'll be doing

You'll help keep our day-to-day people operations running smoothly, including:

  • Managing employee information: Keeping our HR systems and records accurate and up to date, maintaining employee files and processing changes to employee details.

  • Coordinating new starters and leavers: Preparing contracts and paperwork, updating internal systems and making sure relevant colleagues receive the information they need.

  • Supporting payroll: Running Excel reports, collating and checking payroll data, submitting information to our payroll providers and working with Finance to resolve discrepancies.

  • Administering benefits: Processing enrolments and removals for eligible employees, including group private medical insurance.

  • Keeping track of key dates: Monitoring probation periods and upcoming performance reviews and making sure the HR Manager is kept informed.

  • Responding to employee queries: Acting as a first point of contact for routine questions about contracts, payroll and benefits, and directing more complex queries to the appropriate person.

  • Supporting the wider team: Helping with onboarding, compliance checks, HR projects and other administrative tasks as needed.

What we're looking for

You don't need to have worked in HR before. We're much more interested in how you work, how you approach detail and whether we can rely on you to get things right.

You'll be someone who:

  • Has excellent attention to detail and takes real care over the accuracy of their work.

  • Is confident using Excel and spreadsheets, working with data and checking information for errors or inconsistencies.

  • Is highly organised, methodical and comfortable managing recurring administrative tasks.

  • Can manage several priorities at once while meeting deadlines and maintaining accuracy.

  • Communicates clearly and builds positive working relationships with colleagues.

  • Takes responsibility for their work, follows tasks through and flags issues when something doesn't look right.

  • Can work independently and use their judgement, while recognising when to ask for guidance.

  • Understands the importance of confidentiality and handling sensitive information appropriately.

Previous experience in a data-heavy administrative, finance support, payroll, operations or similar role would be useful, but it's not essential. Accuracy, reliability and confidence working with data are more important than a particular job title or background.

Equal opportunities

At Outpost we believe that our strength lies in our differences. These help us to take different perspectives, challenge norms and create a special environment based on mutual respect. Outpost is an equal opportunities employer. Employment with us is based on a person’s extraordinary talent and potential. No candidate will receive any less favourable treatment based on their age, gender, race, ethnicity, disability, sexual preference, or any other factor that has no bearing on an individual’s ability to perform their job.
