Database and Relationship Systems Specialist

Role: Build the Relational Systems Behind a High-Performing Real Estate Brokerage

Great sales teams succeed because the right systems are in place, the right people are contacted, and no opportunity falls through the cracks. We're looking for an exceptional Database Relationship Systems Specialist who loves building systems, creating order, and helping others achieve extraordinary results by consistently strengthening relationships within their world.

This role will own the database, design automated follow-up systems, organize daily lead generation activities, build processes that allow our team to strengthen relationships within our organization and those who are not yet with our organization. No contact left behind. This role is the spiderweb that catches every lead, assigns a process, communicates with the team, and ensures nothing falls through the cracks.

What You'll Own

  • Database Excellence: Maintain an accurate, organized, segmented, and actionable CRM.
  • SmartPlans Execution & Automation: Build and manage automated communication and follow-up campaigns.
  • Daily Lead Generation Support: Prepare prioritized call lists and ensure team members have actionable opportunities.
  • Follow-Up Systems: Ensure every lead is assigned a follow up plan that you document, own, and execute.
  • Technology/CRM Systems: Ensure CRM and websites are functional and operational.
  • Performance Reporting: Track database health, lead activity, follow-up execution, and conversion opportunities.
  • Team Support: When you've mastered the database, you will train and assist agents in using CRM systems and following established processes.

What You Bring

  • 3+ years of relevant operations, CRM, database, or administrative systems experience.
  • Experience building workflows and automated communication campaigns.
  • Strong spreadsheet, reporting, and data management capabilities.
  • Excellent communication, organizational, and problem-solving skills.
  • A service-oriented mindset and a commitment to accountability.
  • Experience with Keller Williams Command or other real estate CRMs preferred.

What Success Looks Like

Our leadership team begins each day knowing whom to call, why to call, and what follow-up is required. You deliver the follow ups necessary and keep our team updated on the health of each contact in the database. Our database is clean and actionable. Our SmartPlans work consistently. Our business processes are documented and followed. Our leadership team has reliable information to make better decisions. You create the structure that makes consistent growth possible.
