Job Description
To be successful you will have a strong secretarial and administration background. In addition, you will be a well organised self-starter who is able to work independently to ensure that tasks are completed to a high standard. Confidence in dealing with clients in a professional manner, both on the telephone and in person, is essential.
Key tasks include but not limited to:
1. Deal with routine client correspondence.
2. Providing monthly client updates on matter progression.
3. Providing monthly costs for matters.
4. Managing matter lists.
5. Preparing bills and managing debtor lists.
6 Managing archiving of matters.
7. Opening, closing and ongoing orderly maintaining of all files in accordance with firm’s quality standards and Lexcel compliance.
8. Handling correspondence from from court and Land registry.
9. Preparing bills for the department.
10. Responsible for the organisation, safe custodian and release of Wills, Lasting Power of Attorney’s, Probates and other associated legal documents.
11. Attend to clients both in person and on the telephone in a manner in keeping with the firm’s high standard of client care.
12. Create and maintain client records on the firm’s database ensuring that all correspondence and file notes are recorded on the system, in accordance with HCB’s and Lexcel’s requirements.
13. Ability to liaise with other departments and offices across HCB Network.
14. Produce client correspondence and enclosures for mailing including client bills.
15. Ensure the confidentiality of the client and firm’s information and documentation at all times.
16. Maintain client hard copy files including copying, storage and retrieval of information.
17. Request payments, record receipts of client monies. And liaising with the accounts department
18. Handling overflow client calls
19. Other duties as required to ensure the efficient running of the office.
Pension – The Peoples Partnership, 3% employer and 5% employee contribution which can be increased. Auto enrolled after 3 months but can join sooner if you wish.
