Role overview:
The HR Assistant and Office Coordinator provides day-to-day HR and administrative support while ensuring the smooth running of the studio and office environment. Working closely with the Directors and wider team, the role supports the employee lifecycle, coordinates office operations and helps create a positive, organised and welcoming workplace.
The role combines HR administration with office coordination, acting as a central point of contact for employees, visitors, suppliers and external service providers. The successful candidate will be highly organised, proactive and able to manage a varied workload across people, facilities and business support.
Key Responsibilities
HR & People Support
- Provide day-to-day administrative support across all HR activities across London and the US.
- Support recruitment administration, including scheduling interviews and coordinating candidate communications.
- Assist with onboarding and offboarding processes, ensuring a positive employee experience.
- Maintain accurate employee records and HR documentation.
- Coordinate training records and support learning and development activities.
- Assist with organising employee wellbeing initiatives and company events.
- Support the Directors with general people administration and confidential HR tasks.
Office Coordination
- Oversee the day-to-day running of the London studio - and some support of our other studios, ensuring an organised, comfortable and well-maintained working environment.
- Manage office supplies, equipment and workplace resources for London and US studios.
- Coordinate meeting rooms and ensure video conferencing facilities are fully operational.
- Welcome visitors and provide a professional first point of contact.
- Manage incoming and outgoing post and deliveries.
- Liaise with external suppliers including IT, telecommunications, facilities and travel providers.
- Coordinate with external IT support to ensure office technology operates effectively.
- Arrange travel and accommodation for Directors and employees, securing best value where possible.
- Organise the weekly company update meetings and manage recordings.
- Support the Social Committee in organising company events and team activities.
- Provide administrative support to Directors and the wider business, including project management, sales, communications and finance teams as required.
About You
You will have at least a level 3 CIPD qualification or have a Bachelor’s degree in Human Resources, Business Administration or a related field.
Previous HR or administrative experience is essential.
You will be:
- Highly organised with excellent attention to detail.
- Able to prioritise multiple tasks and manage changing deadlines.
- A confident communicator with a friendly and approachable manner.
- Proactive, dependable and willing to take ownership of tasks.
- Comfortable handling confidential information with discretion.
- Competent using Google suite and other digital workplace tools.
- Interested in developing a career in HR, People Operations or Office Management.
