Job Description

We are seeking a Licensing & Administrative Coordinator to support rental registry and professional licensure operations. The role involves data entry, registration and invoice processing, record maintenance, customer service, correspondence, fee processing, and administrative support.

Key Responsibilities & Qualifications:

  • Experience in a high-volume clerical, administrative, licensing, or customer-service environment preferred.
  • Proficiency with Microsoft Word, Excel, Outlook, and computerized database systems.
  • Professional and courteous interaction with the public and regulatory professionals.
  • Process rental registry registrations, invoices, licenses, fees, and related documents.
  • Enter and maintain current/historical data in electronic and manual record systems.
  • Respond to phone, email, mail, and walk-in inquiries from the public, licensees, and government agencies.
  • Assist with complaints, correspondence, licensing records, audits, and regulatory documentation.
  • Prepare and edit forms, spreadsheets, reports, and general correspondence using MS Word, Excel, Outlook, and database systems.
  • Assist with scheduling and administration of professional licensure examinations, including proctoring.
  • Explain licensing requirements, regulations, and procedures to applicants and the public.
  • Process purchase orders, requisitions, and other administrative documents.
  • Maintain confidentiality of sensitive records and provide professional customer service.
  • Assist with employee orientation/training and other administrative duties as assigned.
  • High School Diploma or equivalent required.
  • Strong written and verbal communication skills with excellent attention to detail.
  • Ability to manage confidential records, work independently, and handle multiple priorities.
  • Bilingual skills preferred.
