Company Description / Business Unit
For over a century, The AA has been keeping Britain moving. Today, millions of drivers trust us to be there when it matters most, and we're equally committed to supporting the people who make that possible. With a 4.5-star Glassdoor rating, we've built a culture where colleagues are empowered to grow, collaborate and make a real impact for our customers on every journey. Which has been recognised by Sunday Times “Best Places to Work” for the last two years.
If you enjoy bringing order to busy operations, turning data into useful insight and finding smarter ways to work, this is an opportunity to make a visible difference.
As our Road Operations Data & Support Coordinator Specialist, you’ll provide high-quality coordination, data management and administrative support across Roadside Operations. You’ll help keep operational information accurate and up to date, support managers with timely information and respond flexibly to the changing needs of the operation.
You’ll combine day-to-day coordination with opportunities to improve how work gets done. From maintaining workforce and vehicle records to supporting financial activities, engagement events and contravention and NIP processes, your work will help colleagues make informed decisions and operate efficiently.
You’ll thrive here if you’re organised, proactive and comfortable balancing competing priorities. You’ll work collaboratively with managers at all levels, handle sensitive information responsibly and build your knowledge of digital tools to simplify multistep processes and improve support.
Key Responsibilities
- Maintain accurate operational, patrol, vehicle and workforce data across bespoke AA systems and Microsoft 365 applications, helping teams work from reliable information.
- Coordinate workforce administration, including leave, overtime, return-to-work, absence tracking and Tool checks, so records remain current and operational support runs smoothly.
- Gather and analyse information for contravention and NIP processes, supporting informed decisions and cost-saving activity with an aim to save around £50k per year in appeals.
- Support the process for Patrol supply chain with the T&E, Uniform.
- Improve multistep processes using SharePoint, Forms, Power Automate and other digital tools, helping reduce manual effort and create more efficient ways of working.
- Coordinate financial and purchasing activity, including invoice processing, stationery ordering and IT equipment purchases, to provide timely operational support.
- Plan and coordinate engagement activities, meetings and stakeholder events, managing practical arrangements and administration to help them run effectively.
- Partner with managers at all levels to resolve resource and support queries promptly, while handling confidential information in line with data protection and governance standards.
You’ll Bring
- Experience managing operational data and systems, with a strong focus on accuracy and reliable record keeping.
- Advanced Excel and Microsoft 365 skills, with experience using SharePoint, Forms or automation tools.
- Experience supporting an operational or service environment and working effectively within a busy team.
- Data analysis and reporting capability, with the ability to gather information and support sound decision-making.
- Clear written and verbal communication skills, with the confidence to work professionally with managers at different levels.
- A proactive, organised approach, with the ability to manage competing priorities, meet deadlines and handle sensitive information appropriately.
Nice to Have
- Experience working in a technical or operational environment, including tools, equipment, automotive or logistics.
- Experience using Power Automate or developing digital workflows to improve processes.
- A relevant business or administration qualification.
