Basic Function:
We are seeking a highly organized, detail-oriented, and customer-focused Routing Coordinator to join our team. This role is responsible for coordinating the daily schedules and routes of our Plant Health Care and Lawn Care Technicians to ensure efficient service delivery and an exceptional customer experience.
The Routing Coordinator serves as the primary communication link between our customers, field technicians, and office team. Responsibilities include building and optimizing daily routes, communicating with customers regarding upcoming services, supporting technicians with scheduling and service-related information, and maintaining accurate records within our database. The successful candidate will develop a strong understanding of our services and play a vital role in supporting operational efficiency and customer satisfaction.
What You’ll Do (included but not limited to):
- Build, manage, and optimize daily routes and schedules for Plant Health Care and Lawn Care Technicians based on geography, workload, weather conditions, and crew availability.
- Communicate with customers by phone and email regarding upcoming service appointments, scheduling requests, reschedules, and general service inquiries.
- Serve as the primary point of contact for technicians, providing information related to customer properties, service history, work orders, materials, and special instructions.
- Review completed work orders, enter service data into company systems, and maintain accurate customer and operational records.
- Coordinate equipment, materials, inventory, and vehicle logistics to ensure crews are prepared for scheduled work.
- Collaborate with managers and field staff to prioritize work, adjust schedules, address service issues, and maximize operational efficiency.
- Support billing, payment processing, accounts receivable activities, reporting, and general administrative functions.
- Deliver exceptional customer service by assisting callers, walk-in clients, and internal team members while helping to maintain a high level of client satisfaction.
- Assist with database maintenance, customer follow-ups, contract administration, and other duties as assigned.
- Excellent communication skills with a professional, customer-focused approach.
- Strong organizational, multitasking, and time management abilities.
- Proven customer service experience and the ability to build positive client relationships.
- Strong computer skills, including Microsoft Office Suite; experience with QuickBooks and business software is a plus (training provided).
- Minimum of 2 years of experience in an administrative, customer service, dispatch, scheduling, routing, or coordination role.
- Strong attention to detail and commitment to accuracy.
- Ability to prioritize tasks and thrive in a fast-paced environment.
- Familiarity with Lower Westchester County and surrounding areas, or the ability to quickly learn service territories and routing.
- Bilingual English/Spanish is a plus.
- Associate's degree or related experience preferred.
Compensation $22 - $28 per hour, based on experience and qualifications.
