Role: Event Planner / Events Coordinator
Location: Lowell, MA – 900 Chelmsford St, Lowell, MA 01851
Work Model: Hybrid – Monday–Wednesday in office; Thursday–Friday flexible
Contract: 6 months initially, with potential for extension or conversion
Pay Rate: $40.28/hour
Schedule: Monday–Friday, 8:00 AM–5:00 PM EST, including 1-hour lunch
Hours: 40 hours/week; no overtime or weekend work
Position Overview
Cliejis seeking an experienced Event Planner / Events Coordinator to support the planning and execution of domestic corporate events and meetings. The ideal candidate will have strong event planning and project management experience, excellent organizational skills, and the ability to manage multiple event-related priorities from initial planning through post-event follow-up.
The Event Planner will work independently under the guidance of the Manager, Events and serve as a primary planner and point of contact for domestic events of up to approximately 50 attendees.
Key Responsibilities
- Plan and coordinate domestic corporate events from initial planning through post-event follow-up.
- Serve as the primary point of contact between event stakeholders and internal teams involved in event execution.
- Conduct pre-event and post-event meetings to review requirements, communicate event needs, and gather feedback.
- Collaborate with internal teams including Creative, Sales, AV, and other stakeholders to coordinate pre-event, onsite, and post-event logistics.
- Develop, manage, and reconcile event-specific budgets while maximizing savings and ensuring alignment with event objectives.
- Coordinate food and beverage, audio-visual requirements, wired/wireless connectivity, meeting spaces, and other event logistics.
- Create and maintain attendee lists, registration information, and hotel rooming lists.
- Manage group room blocks and meeting space arrangements.
- Coordinate all event-related communications with internal and external stakeholders.
- Collaborate closely with multiple teams to ensure all event components are properly coordinated and executed.
- Manage relationships with external event vendors, including contracts, invoices, and service coordination.
- Obtain feedback from internal teams regarding vendor quality and service levels.
- Clearly communicate detailed event information, requirements, timelines, and updates to management, employees, vendors, and stakeholders.
- Ensure all responsibilities are performed in accordance with UKG standards, policies, and procedures.
- Support additional event-related projects and responsibilities as assigned.
Required Qualifications
- 2+ years of experience managing events of varying sizes, complexity, and impact.
- Bachelor's degree or equivalent professional experience.
- Strong project management and organizational skills.
- Excellent written and verbal communication skills.
- Strong analytical, creative, and strategic-thinking abilities.
- Exceptional attention to detail and ability to prioritize multiple tasks simultaneously.
- Ability to balance competing event requirements and negotiate event needs effectively.
- Demonstrated ability to meet deadlines and deliver high-quality results in a fast-paced environment.
- Ability to work effectively both independently and collaboratively as part of a cross-functional team.
- Self-starter who is highly resourceful, proactive, and comfortable taking ownership of event-related responsibilities.
Preferred Qualifications
Experience with event planning and business software/tools such as:
- Microsoft Office Suite
- Cvent
- Concur
- Event registration and attendee management platforms
- Budget and expense management tools
Ideal Candidate
The ideal candidate is a highly organized and detail-oriented event professional who can independently manage multiple moving pieces while maintaining strong communication with stakeholders, vendors, and internal teams. Candidates should be comfortable working in a hybrid environment and adapting schedules around business events when necessary.
Work Environment & Schedule
- Monday–Wednesday: In-office at the Lowell, MA location
- Thursday–Friday: Flexible/hybrid
- Schedule may occasionally change based on event requirements.
- Standard hours are 8:00 AM–5:00 PM EST, with a 1-hour lunch.
- 40 hours per week
- No regular overtime or weekend work expected.
- Initial 6-month contract, with potential for extension or conversion based on LOA coverage and business needs.
