Job Description

Based in any U.S. office, the eDiscovery Operations Analyst will support the Firm’s eDiscovery practice by managing external vendor relationships, coordinating data operations, and driving procurement and pricing processes for litigation support matters. This role serves as a key operational liaison between internal legal teams, Relativity administrators, and outside service providers, ensuring efficient and cost-effective delivery of eDiscovery services across the Firm.

This role reports to the Associate Director, Global Practice Services.

Responsibilities include:

  • Supporting day-to-day relationships with external eDiscovery vendors and service providers, serving as the primary point of contact for project intake, service requests, and issue escalation.
  • Soliciting, reviewing, and summarizing pricing proposals and cost estimates from vendors for new litigation matters, ensuring competitive and defensible spend in alignment with matter budgets.
  • Managing the preferred provider Request for Proposal (RFP) intake process, including drafting RFP documents, evaluating vendor responses, and preparing comparative analyses and recommendations for leadership.
  • Reviewing and standardizing vendor statements of work (SOWs), engagement letters, and service-level agreements in collaboration with internal stakeholders and Firm procurement or legal operations teams.
  • Tracking and reconciling vendor invoices, coordinating approvals, and assisting with billing and cost allocation processes across matters.
  • Supporting secure and accurate data transfers between internal systems, outside counsel, vendors, and client environments, ensuring compliance with data handling protocols and chain-of-custody requirements.
  • Coordinating with Relativity administrators on workspace provisioning, data archiving, storage management, and decommissioning of matter workspaces in accordance with Firm retention policies.
  • Monitoring eDiscovery storage utilization and maintaining accurate records of active, archived, and purged data across the Firm’s Relativity and RelativityOne environments.
  • Assisting with onboarding new vendors onto the Firm’s preferred provider panel, including facilitating security assessments, insurance verification, and due diligence reviews.
  • Maintaining and updating the Firm’s eDiscovery vendor database, rate cards, and preferred provider documentation to ensure current and accurate reference materials are available to legal teams.
  • Generating operational reports and dashboards tracking vendor performance metrics, matter spend, storage usage, and SLA compliance for review by eDiscovery and Global Practice Services leadership.
  • Collaborating with eDiscovery Specialists, Senior Specialists, and Advisors to align vendor services with matter timelines, collection schedules, and review workflows.
  • Staying current on developments in eDiscovery vendor offerings, pricing models, and technology platforms, including AI-assisted review and processing tools, to inform procurement strategy.
  • Supporting special projects and process improvement initiatives within the eDiscovery operations function as directed.
  • Performing other duties as assigned.

Qualifications:

  • Ability to adhere to all Global Practice Services (“GPS”) and Information Services (“IS”) policies, procedures, best practices, and guidelines.
  • Demonstrated ability to manage multiple activities simultaneously, with strong organizational skills and attention to detail.
  • Ability to analyze and compare vendor pricing proposals and prepare clear, concise summaries for internal decision-makers.
  • Experience with procurement or RFP processes, preferably in a legal, professional services, or technology environment.
  • Familiarity with eDiscovery data workflows, EDRM stages, and standard litigation support procedures.
  • Working knowledge of Relativity or RelativityOne, including data administration, workspace management, and archiving functions.
  • Self-motivated, with the ability to independently plan, organize, and prioritize a time-sensitive workload.
  • Sound judgment and initiative in resolving problems and completing assignments with minimal supervision.
  • Ability to work well under pressure and in a collaborative team environment.
  • Advanced verbal and written communication skills, including the ability to prepare professional correspondence, reports, and presentations.
  • Strong proficiency in the Microsoft Office Suite, particularly Excel for cost tracking and data analysis.

Experience:

  • University degree required; a background in legal studies, information technology, or business administration preferred.
  • Minimum of 3 to 5 years of relevant experience in eDiscovery operations, litigation support, legal project management, or a related field.
  • Prior experience in an AmLaw 100 law firm, corporate legal department, or legal service provider strongly preferred.
  • Experience with Relativity or RelativityOne, including workspace administration, ARM, processing, or storage management.
  • Experience managing or supporting vendor procurement processes, including RFP coordination, bid evaluation, and SOW administration.
  • Demonstrated experience with eDiscovery data transfer workflows, including chain-of-custody documentation and cross-platform data migrations.
  • Familiarity with eDiscovery cost management practices, and the ability to interpret and summarize technical vendor pricing (e.g., per-GB processing rates, hosting fees, project-based estimates).
  • ACEDS certification or equivalent industry credential a plus.

Compensation & Benefits:

The hourly compensation rate for this position is $58-67/hr. The salary offered will depend upon qualifications and other operational considerations.
