Position overview

The Business Operations Specialist coordinates the production and delivery of required communications to UnitedHealthcare members. These communications may include plan notices, benefit updates, enrollment materials, coverage documents, and other approved member information.

You will manage deadlines, data files, approval records, vendor activity, quality checks, and delivery confirmation. The position requires strong organization and attention to detail, but it does not require clinical education or direct patient-care experience.

Primary responsibilities

  • Manage communication requests from initial intake through production, delivery confirmation, and records retention.

  • Build and maintain project schedules for member notices, benefit materials, and other recurring or time-sensitive communications.

  • Confirm that content has received the required business, legal, compliance, and regulatory approvals before production.

  • Coordinate with internal teams and approved print, mailing, fulfillment, and electronic-delivery vendors.

  • Prepare and validate recipient data according to established security, privacy, and file-handling procedures.

  • Review production proofs for correct content, formatting, version, dates, contact information, and approved regulatory language.

  • Monitor delivery schedules and promptly escalate delays, data discrepancies, quality concerns, or missed requirements.

  • Reconcile production and delivery totals against approved source files.

  • Maintain organized documentation, approval records, delivery evidence, and audit-ready project files.

  • Prepare operational reports covering volume, timeliness, errors, vendor performance, and unresolved risks.

  • Participate in root-cause reviews and help implement corrective actions when production issues occur.

  • Identify opportunities to simplify workflows, reduce manual work, improve quality controls, and make project status easier to understand.

  • Protect confidential information and follow applicable privacy, information-security, and records-management requirements.

The specialist coordinates approved communications and production activity. Decisions about plan coverage, legal interpretation, regulatory language, or clinical policy remain with the appropriate subject-matter teams.

Required qualifications

  • Two or more years of experience in business operations, project coordination, communications operations, vendor management, document production, quality assurance, or another deadline-driven administrative function.

  • Experience managing several projects or work requests with overlapping deadlines.

  • Intermediate Microsoft Excel skills, including sorting, filtering, lookups, conditional formatting, and reconciliation of data sets.

  • Strong written communication and the ability to provide concise project-status updates.

  • Demonstrated attention to detail when reviewing documents, dates, files, and approval requirements.

  • Ability to investigate discrepancies and document how an issue was resolved.

  • Experience working with confidential, financial, personal, or otherwise sensitive information.

  • Ability to work independently and remain responsive in a remote environment.

  • Authorization to work in the United States without current or future employer sponsorship.

Preferred qualifications

  • Experience in health insurance, financial services, government programs, benefits administration, or another regulated industry.

  • Experience supporting print production, mailing operations, digital document delivery, or fulfillment vendors.

  • Familiarity with protected health information and HIPAA-related privacy procedures.

  • Experience with SharePoint, Smartsheet, Microsoft Teams, Power BI, workflow systems, or comparable tools.

  • Experience maintaining documentation for audits, regulatory reviews, or contractual requirements.

  • Associate or bachelor’s degree in business, communications, operations, or a related subject.

A college degree is not required. Relevant operations, vendor-management, documentation, or project-coordination experience will be considered.

What success looks like

During the first 30 days, you will complete company, privacy, information-security, and process training. You will learn the communication intake process, approval requirements, vendor relationships, and documentation standards.

By 90 days, you should be independently managing routine communication projects, providing reliable status updates, and maintaining complete project records.

Within six months, you should consistently identify production risks before deadlines are affected, resolve routine discrepancies, and recommend at least one practical improvement to an existing workflow or quality-control process.

Performance expectations

Performance will be evaluated using a balanced set of measures, which may include:

  • Percentage of communications delivered by the required date.

  • Accuracy and completeness of production files and project documentation.

  • Number and severity of preventable production errors.

  • Timeliness of issue escalation and resolution.

  • Quality of communication with internal partners and vendors.

  • Contribution to process improvement and operational consistency.

Employees are not expected to sacrifice required review or compliance controls merely to meet a production-speed target.

Compensation and benefits

Eligible employees may have access to a benefits package that includes:

  • Health and well-being: Medical and supplemental health-plan options, wellness resources, and programs supporting physical and emotional well-being.

  • Financial benefits: Retirement and savings programs, a 401(k) contribution, employee stock-purchase opportunities, and applicable incentive or recognition programs.

  • Time and flexibility: Paid time away, company holidays, leave programs, and remote-work flexibility under the applicable telecommuter policy.

  • Development and support: Learning resources, career-development opportunities, reimbursement or discount programs, and company-provided equipment for remote work.

Benefit eligibility and available plans depend on the employee’s legal employer, business unit, geographic location, job classification, and applicable plan documents. Complete details will be provided during the hiring process.

Remote-work requirements

The employee must maintain a private workspace suitable for handling confidential information and participating in calls without unauthorized individuals present. Company information may only be accessed through approved devices, systems, and networks.

Employees must have reliable high-speed internet service and follow all telecommuter, privacy, records-management, and information-security policies. The company will provide the standard computer equipment required for the position.

Occasional additional hours may be necessary during regulatory deadlines, annual enrollment periods, or urgent production issues. These periods will be communicated as early as reasonably possible.

Hiring process

  1. A 30-minute introductory call with a UnitedHealthcare Recruiter to discuss the position, remote-work requirements, compensation range, and relevant experience.

  2. A structured video interview with the Member Communications Operations Manager.

  3. A 45-minute live exercise based on a sample member-communication project. The candidate will review a fictional production schedule, identify missing approvals and data discrepancies, and explain how they would prioritize the next steps. No take-home assignment is required.

  4. A final video interview with representatives from communications operations, compliance, and vendor management.

  5. Final reference and employment checks, followed by a conditional written offer. Any legally permitted background screening or drug testing will be completed with the candidate’s authorization before the confirmed start date.

Equal employment opportunity

UnitedHealth Group and its affiliated businesses provide equal employment opportunities under applicable law. Qualified applicants are considered without regard to race, national origin, religion, age, color, sex, sexual orientation, gender identity, disability, protected veteran status, or any other characteristic protected by applicable law.
