Ripple Effect is seeking an Associate Event Planner to support mission-driven programs through the planning and execution of meetings and events and related administrative activities. Working closely with the Communications and Outreach team, this entry-level role assists multiple partners with pre-production, logistics, documentation, participant communications, and on-site execution, including audio/visual and technical support, while contributing to cross-functional planning efforts that advance Ripple Effect’s work.
Responsibilities
- Support the planning and execution of meetings and events, including pre-production, on-site delivery, and post-event wrap-up activities
- Collaborate closely with the Communications and Outreach team and other project staff to complete assigned event and administrative tasks and ensure events align with organizational goals, messaging, and client objectives
- Coordinate event logistics, including venue research and selection, registration, travel, catering, materials, shipping, and on-site staffing
- Support audio/visual, technical, and hybrid/virtual event requirements by working with internal teams, vendors, and external partners
- Assist with developing and maintaining detailed event plans, checklists, timelines, run-of-show documents, and contingency plans
- Support communications with event stakeholders, partners, vendors, and service providers throughout the planning process under the guidance of the event or project lead
- Support cross-functional coordination by assisting with related tasks such as content development, speaker management, participant communications, scheduling, meeting materials, note taking, action-item tracking, and file organization
- Take ownership of assigned tasks, follow through, and provide timely updates on progress or roadblocks.
Minimum Education and Experience:
- Bachelor's Degree
Basic Requirements:
- Able to work in a fast-paced environment, manage multiple priorities, meet deadlines, and communicate early when priorities or timelines conflict.
- Detail oriented with strong organizational skills, including the ability to maintain trackers, checklists, files, notes, and status updates for staff and leadership.
- Interest in learning how to coordinate in-person, virtual, and hybrid events, including the use of virtual meeting software (e.g., Zoom and Teams). Experience through work, internships, school, volunteer activities, hospitality, or customer service is helpful but not required.
- Excellent verbal and clear, professional written communication skills for interactions with clients (including event speakers and attendees), coworkers, and leadership.
- Basic experience with Microsoft Office productivity software and collaboration tools such as Excel, Microsoft Teams, and SharePoint.
- Willingness to learn project and event management and design software such as Microsoft Planner, Microsoft Project, and Adobe Creative Suite.
- Resourceful self-starter who is willing to research unfamiliar tasks, propose a practical “90% solution,” and seek guidance when needed.
- Ability to assist with event setup and teardown and carry or maneuver event materials, with or without reasonable accommodation. Some items may weigh up to 50 pounds.
- Ability to attend onsite meetings on a regular basis in the DC Metro area.
Skills That Set You Apart:
- Certificate in event management such as CGMP or CMP.
- Knowledge of event management platforms such as Cvent or Bizzabo.
- Experience working with FACA committees and familiarity with requirements.
- Basic knowledge of AI tools, including their limitations and risks, and how they can be applied to support event coordination tasks.
